Position Summary

Jewish Federation of Detroit seeks an experienced Executive Assistant to provide top-notch administrative and clerical support to the Executive Director, Development & the Chief Engagement Officer in a fast-paced environment.    
DUTIES AND RESPONSIBILITIES

  • Organize and support the demanding workloads of Executive Director, Development & Chief Engagement Officer.
  • Exercise good common sense, judgment and discretion in handling confidential and sensitive material. 
  • Capable of professionally handling a high volume of donors, community leaders, and other important contacts in a calm, confident and friendly manner.
  • Coordinate and manage calendars, schedule meetings and appointments, prepare expense reports, arrange catering, book meeting spaces, and set up conference calls.
  • Answer, screen, and route incoming phone calls, emails, and inquiries as appropriate.
  • Draft, edit, and prepare general and electronic correspondence with accuracy and attention to detail.
  • Provide excellent internal and external customer service in a responsive and timely way.
  • Research, compose and complete a professional document utilizing proper grammar, spelling and format skills. 
  • Prepare meetings, format presentations for Committee meetings and document minutes.
     

REQUIRED SKILLS & ABILITIES:

  • 5+ years of professional experience in administrative support or a related role.
  • Self-starter, self-disciplined, highly organized team player.
  • Proficient in MS Office including Word, Excel, Access and PowerPoint.
  • Professional appearance and demeanor.
  • Strong interpersonal skills and positive attitude.
  • Excellent verbal and written communication skills, with strong attention to grammar and clarity.
  • Strong work ethic with a willingness to take initiative and do what is needed to meet deadlines and objectives.
  • Highly detail-oriented with the ability to maintain focus and a strong sense of urgency.
  • Proven ability to multitask effectively by prioritizing responsibilities and managing time efficiently.
  • Confidentiality is a must.
  • Extensive experience with office administration, including organizing, creating, and maintaining electronic and hard-copy filing systems.
  • Experience with CRM systems is a plus.
