What is an executive assistant project manager?

An Executive Assistant Project Manager is a professional who supports executives by managing administrative tasks and also takes on project management responsibilities. This dual role involves organizing schedules, handling communications, coordinating meetings, and ensuring that projects are planned, executed, and completed efficiently. They bridge the gap between executive leadership and project teams, helping to keep projects on track while also providing high-level administrative support. Their skill set includes organization, communication, multitasking, and knowledge of project management tools or methodologies.

How does an executive assistant project manager typically balance administrative responsibilities with project management tasks?

Executive Assistant Project Managers often navigate a dynamic mix of supporting executive leadership while also coordinating projects. They may spend part of their day managing schedules, organizing meetings, and handling communications, and the other part developing project timelines, tracking progress, and facilitating collaboration between teams. Effective prioritization and clear communication are key to balancing these responsibilities. Most organizations support this hybrid role with project management tools and regular check-ins, ensuring tasks are organized and deadlines are met without neglecting executive support duties.

What are the key skills and qualifications needed to thrive as an executive assistant project manager, and why are they important?

To thrive as an Executive Assistant Project Manager, you need strong organizational skills, multitasking abilities, project management knowledge, and experience supporting executives, often backed by a degree in business or a related field. Familiarity with project management software (such as Asana, Trello, or MS Project), advanced proficiency in Microsoft Office Suite, and sometimes a PMP or CAPM certification are highly valued. Exceptional communication, discretion, and problem-solving abilities set top performers apart in this hybrid role. These skills are crucial for efficiently coordinating complex projects while providing seamless executive support, ensuring organizational objectives are met.

Can an executive assistant be a project manager?

An executive assistant can develop project management skills and take on project coordination tasks, but typically they are not formally designated as project managers unless they acquire relevant certifications like PMP and gain experience in project planning and execution. The roles require different core responsibilities, with project managers focusing on leading projects and executive assistants providing administrative support.

Job description

Titan Electric is powering the future by helping build the data centers and critical systems people rely on every day!

As an Assistant Project Manager on our Mission Critical team, you will help keep data center and critical facility projects organized, moving, and ready for the next milestone. You will work beside Project Managers, Superintendents, field leaders, vendors, and owners to track documents, coordinate details, solve small problems before they become big ones, and support the day-to-day rhythm of complex electrical construction work.

This is not a paper-pushing role. It is a front-row seat to how high-pressure, schedule-driven electrical projects get built safely and correctly. If you like details, deadlines, people, field coordination, and learning how major projects come together, this role gives you the room to grow into a Project Manager.

What You'll Help Build

You will support mission critical electrical construction projects, including data centers and other facilities where uptime, quality, safety, and schedule discipline matter. Your work will help the project team stay aligned on drawings, submittals, RFIs, change orders, procurement, manpower needs, owner updates, and closeout requirements.

Here's What Might Happen on a Typical Day

  • You review yesterday's field updates and help the Project Manager identify what needs attention before the morning coordination meeting.
  • You track RFIs, submittals, drawing updates, and meeting notes so the team is working from the right information.
  • You follow up with vendors or internal teams on material status, delivery dates, and missing documentation.
  • You help prepare project reports that show schedule risks, open items, change order status, and upcoming deadlines.
  • You walk the site with project leadership to better understand what is being built, what is changing, and what support the field needs next.
  • You help organize closeout documents, punch list items, O&M manuals, warranties, and owner turnover packages.
What Success Looks Like

In this role, success means the Project Manager has reliable information, the field has fewer roadblocks, and the project team can trust that details are being tracked. You are successful when open items are visible, deadlines are not a surprise, documentation is clean, and people know what they need to do next.

Skills That Matter Here
  • You have supported construction projects and understand how drawings, schedules, RFIs, submittals, change orders, and field coordination connect.
  • You can organize a large amount of project information without losing the small details that protect the schedule.
  • You are comfortable communicating with Project Managers, Superintendents, Foremen, vendors, subcontractors, and customers in a clear and professional way.
  • You know how to follow up without waiting to be reminded, especially when missing information could slow down the field.
  • You can use project management tools, spreadsheets, email, and document control systems to keep work moving.
  • You are willing to learn from the field, ask smart questions, and build the judgment needed to manage larger project responsibilities over time.
Minimum Requirements

  • Working knowledge of project documentation such as RFIs, submittals, schedules, meeting minutes, procurement logs, change orders, and closeout packages.
  • Ability to read construction drawings and understand basic project sequencing.
  • Strong follow-up habits, clear written communication, and the ability to manage multiple open items at once.
  • Comfort working in both office and active construction site environments.
  • Ability to travel to project sites as needed.
Preferred Qualifications

  • Electrical construction experience, especially with power distribution, low voltage systems, controls, commissioning support, or data center environments.
  • Experience with Procore, Bluebeam, Microsoft Project, Primavera P6, Accubid, or similar construction tools.
  • Internship, co-op, field, estimating, project engineering, or assistant project management experience with an electrical contractor.
  • OSHA 10 or OSHA 30 certification.
Who This Role Is Built For

This role is built for someone who wants more than a desk job and more than a clipboard title. It is for someone who wants to understand the work, earn trust with the field, support the customer, and grow into bigger project leadership responsibility. If you are organized, curious, steady under pressure, and serious about building a career in electrical construction, you may be a strong fit.
