Defense Executive Assistant

Location: New Hudson, MI

Schedule: Monday-Friday | Onsite

Work Authorization: U.S. Citizenship Required

Position Overview

We are seeking a highly organized, proactive, and confident Executive Assistant to support senior leadership within a fast-paced defense and engineering environment. This role provides direct support to executive leadership while serving as a key operational partner to engineering, defense, and business support teams.

This is not a traditional administrative role. The ideal candidate is a self-starter who thrives in a demanding environment, can anticipate needs before they arise, quickly adapt to changing priorities, and operate independently with minimal direction. Success in this position requires strong judgment, exceptional attention to detail, outstanding organizational skills, and the ability to manage sensitive information with discretion.

The individual selected for this role will regularly interact with executive leadership, engineering teams, defense programs, and external stakeholders while supporting critical initiatives related to advanced defense and robotics technologies.

Key Responsibilities

Executive Leadership Support

  • Provide direct administrative support to senior executives, including complex calendar management, meeting coordination, and travel planning
  • Prepare executive presentations, reports, correspondence, briefing materials, and meeting documentation
  • Track priorities, deliverables, deadlines, and action items to ensure timely execution
  • Serve as a primary point of coordination between leadership, engineering teams, and external stakeholders
  • Support executive reviews, customer meetings, leadership briefings, and program discussions
  • Anticipate executive needs and proactively resolve scheduling and logistical challenges

Operations & Office Management

  • Coordinate daily office operations and administrative activities
  • Manage conference room scheduling, visitor coordination, and office logistics
  • Support onboarding activities, workspace coordination, equipment requests, and access requirements
  • Plan and coordinate meetings, team events, leadership reviews, and special projects
  • Maintain organized records, documentation systems, and operational processes

Engineering & Technical Team Coordination

  • Partner closely with engineering and technical teams to coordinate reviews, meetings, deliverables, and customer engagements
  • Assist with preparation and organization of technical presentations, program reviews, and executive briefings
  • Facilitate communication between technical and non-technical stakeholders
  • Support document control, file organization, and information management activities
  • Assist with troubleshooting administrative and operational challenges impacting project execution

Business Operations Support

  • Process expense reports, invoice tracking, travel expenses, and related administrative documentation
  • Coordinate timesheet activities and support business operations processes
  • Assist with document management and record retention activities
  • Support handling and protection of sensitive, controlled, and confidential information
  • Ensure documentation is maintained in accordance with company policies and security requirements

Required Qualifications

  • High School Diploma or equivalent required
  • Associate's or Bachelor's degree preferred
  • Minimum 5 years of experience supporting senior leadership in an Executive Assistant, Office Manager, Chief of Staff support, or similar role
  • Advanced proficiency with Microsoft Office Suite, including:
    • Outlook
    • Excel
    • PowerPoint
    • Word
    • Teams
  • Strong calendar management, travel coordination, and meeting planning experience
  • Exceptional written and verbal communication skills
  • Strong organizational and multitasking abilities
  • Ability to work independently with minimal supervision
  • U.S. Citizenship required
  • Ability to obtain and maintain access requirements associated with sensitive defense-related programs

Preferred Qualifications

  • Experience supporting executives within defense, aerospace, military, government contracting, automotive engineering, or other highly regulated industries
  • Experience working in secure or classified environments
  • Familiarity with GCC High, secure collaboration platforms, or controlled information environments
  • Experience supporting engineering, technical, or product development organizations
  • Familiarity with compliance requirements such as ITAR, CMMC, NIST, or facility security protocols
  • Experience coordinating activities across multiple departments and leadership teams
