Job description

This trusted role will manage both business and personal priorities, ensuring the Founder can focus on strategic growth, product development, and key business initiatives. The ideal candidate is exceptionally detail-oriented, thrives in a fast-paced entrepreneurial environment, and anticipates needs before they arise.

Key Responsibilities

Executive Support

  • Manage the Founder’s calendar, appointments, meetings, and travel arrangements.
  • Coordinate internal and external meetings, including preparing agendas, materials, and follow-up action items.
  • Screen and prioritize emails, calls, and correspondence.
  • Assist with project management and ensure timely completion of key initiatives.
  • Prepare reports, presentations, meeting notes, and business correspondence.
  • Serve as a liaison between the Founder and internal teams, vendors, partners, and customers.

Business Operations Support

  • Track ongoing projects and ensure deadlines are met across departments.
  • Coordinate special projects related to design, sales, operations, marketing, and e-commerce.
  • Assist with vendor communications and relationship management.
  • Support trade shows, market appointments, photo shoots, and company events.
  • Help organize and maintain company documents, contracts, and records.

Personal Assistance

  • Manage personal appointments, reservations, and scheduling.
  • Coordinate personal travel arrangements and itineraries.
  • Assist with personal errands, gifting, and household vendor coordination as needed.
  • Handle confidential information with the highest level of discretion and professionalism.
  • Provide day-to-day administrative support to streamline the Founder’s personal and professional responsibilities.

Administrative Duties

  • Maintain organized filing systems and records.
  • Track expenses and assist with expense reporting and reimbursements.
  • Order office supplies and coordinate office-related needs.
  • Assist with onboarding and administrative tasks for new employees when necessary.

Qualifications

  • 3+ years of experience supporting a senior executive, founder, entrepreneur, or C-level executive.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities simultaneously and adapt to changing needs.
  • Proficiency in Microsoft Office, Google Workspace, and calendar management tools.
  • Highly trustworthy with excellent judgment and discretion.
  • Strong problem-solving skills and a proactive mindset.
  • Ability to work independently with minimal supervision.

Preferred Qualifications
