Executive Administrative Assistant

We are seeking an Executive Administrative Assistant to provide critical support to senior leadership while helping keep day-to-day operations running smoothly. This is an excellent opportunity for someone with Executive Assistant, Office Manager, Senior Administrative Assistant, or leadership support experience who is looking to grow with a mission-driven organization.

Position Overview
As the Executive Administrative Assistant, you will serve as a trusted partner to leadership by managing schedules, coordinating meetings, supporting communications, handling confidential information, and ensuring operational efficiency. You will act as a key liaison between executives, staff, vendors, and external stakeholders while providing exceptional administrative support.
Key Responsibilities
Calendar & Executive Support
  • Manage complex calendars, appointments, and meeting schedules for leadership.
  • Coordinate and prioritize competing requests while resolving scheduling conflicts.
  • Arrange meetings, conference calls, and special events.
Communication & Administrative Coordination
  • Serve as a primary point of contact for internal and external stakeholders.
  • Screen phone calls, emails, and visitor inquiries with professionalism and discretion.
  • Draft, edit, and proofread correspondence, presentations, reports, and other business documents.
  • Maintain organized records, files, and administrative documentation.
Meeting & Event Management
  • Coordinate meeting logistics, agendas, materials, and follow-up items.
  • Prepare meeting packets and presentations for leadership.
  • Take detailed meeting notes and distribute action items as needed.
  • Support special projects, board meetings, and organizational events.
Travel & Expense Administration
  • Coordinate travel arrangements, accommodations, and itineraries.
  • Prepare and submit expense reports and reimbursement documentation.
  • Track travel and administrative expenses accurately and efficiently.
Confidentiality & Professional Support
  • Handle highly confidential employee, organizational, and leadership information.

Qualifications
Required Experience
  • 3-5+ years of progressive administrative experience.
  • Previous experience supporting a manager, director, executive, or department leader.
  • Executive Assistant, Administrative Assistant, Office Manager, or similar experience preferred.
  • Experience in nonprofit, healthcare, or mission-driven organizations is a plus.
