Hawkins Parnell & Young, LLP is seeking an experienced Executive Assistant to support David R. Johanson, a Senior Partner leading a dynamic national practice. The candidate will work from our Napa, California office. Remote work is possible for a qualified candidate.This position involves active daily contact with the national legal team and clients in a fast-paced environment. Excellent writing and communication skills, and organizational independence are required. Paralegal or legal assistant experience would be helpful. This is a true Executive Assistant role to manage a large national team of approximately 25+ timekeepers for the Senior Partner and to assist him in prioritizing and organizing activities to promote the firm's clients' interests.
Candidates must have strong organizational and communication skills, a strong work ethic, and proficiency in MS Office, Excel, and PowerPoint.

Responsibilities include, but are not limited to:
  • Maintain team and court calendars and keep attorneys aware of key scheduled events and approaching deadlines
  • Scheduling and participating in meetings and videoconferences
  • Communicate by phone, Zoom, and email with clients and vendors, maintaining professionalism and a high level of customer service
  • Assist in the coordination on legal documentation
  • Assist in marketing and client development
  • Oversee organizational efforts regarding electronic files
  • Assist the Senior Partner in prioritizing his workload and entering his billable time
  • Act as a spokesperson for the Senior Partner, subject to direct instructions and general guidelines provided by the Senior Partner
  • Coordinate new client pitches for the Senior Partner and assist him in integrating new clients into his team's legal practice

Required Skills and Experience:
  • High School diploma required, Bachelor's degree preferred.
  • Three or more years of legal experience or comparable corporate experience.
  • Prior Executive Assistant experience would be helpful although it is not required
