Exceptions Specialist information

What are Exceptions Specialists?

Exceptions Specialists are professionals who manage and resolve discrepancies or anomalies in business processes, particularly in finance, banking, or operations. Their main responsibility is to identify, investigate, and correct transactions or records that do not match expected patterns or standards. This may involve reviewing documentation, communicating with other departments, and ensuring compliance with company policies and regulations. Exceptions Specialists play a critical role in minimizing errors, preventing fraud, and maintaining the integrity of organizational data. They often use specialized software and must have strong attention to detail and analytical skills.

How does an Exceptions Specialist typically interact with other departments to resolve discrepancies?

An Exceptions Specialist regularly collaborates with teams such as operations, finance, and customer service to investigate and resolve transaction discrepancies or processing errors. They often serve as a liaison, clarifying issues and gathering necessary documentation to ensure accurate resolution. Effective communication and a proactive approach are essential, as they may coordinate meetings or follow up with multiple stakeholders to expedite solutions. This cross-functional interaction not only aids in efficient problem-solving but also helps build a strong understanding of overall business processes.

What are the key skills and qualifications needed to thrive as an Exceptions Specialist, and why are they important?

To thrive as an Exceptions Specialist, you need strong analytical skills, attention to detail, and typically a background in finance, banking, or a related field. Familiarity with exception management software, databases, and workflow tools such as Excel or specialized banking platforms is often required. Excellent problem-solving abilities, communication skills, and the capacity to manage time effectively help you handle complex or urgent exception cases. These skills ensure timely and accurate resolution of discrepancies, minimizing risk and maintaining compliance in high-volume transaction environments.

Description
The Automation Utility Specialist plays a critical role in supporting daily outbound operations by troubleshooting automation systems, managing inventory-related exceptions, and ensuring seamless order processing across multiple systems. Working as part of a strong three-person team per shift, this role balances technical problem-solving with proactive communication to keep operations running smoothly.
Automation Utility Specialists act as Automation Wave Planners (AWP), Outbound Troubleshooters, and Inventory Investigators, handling exceptions in LogicPod (LP) and Inther, resolving stock discrepancies, managing channel assignments, cartonization and manifest exceptions, and ensuring accuracy between systems at the end of each shift. The role requires strong communication skills (both written and verbal), technical skills, attention to detail, and the ability to collaborate across departments to identify and resolve roadblocks.
Key Responsibilities:
Automation & Exception Management
  • Troubleshoot and resolve outbound SKU, cartonization, and manifest exceptions (LP).
  • Manage channel assignments and replenishments (Inther).
  • Investigate order issues, confirmation failures, and missing orders across Inther and LP.
  • Monitor and maintain system alignment (Inther vs. LP) to ensure clean end-of-shift reporting.
  • Execute smart wave simulations and order releases outside the A-frame.

Inventory Investigation
  • Investigate and resolve inventory discrepancies, including stock in quality check, empty bin audits, and reject inventory (INV_HOSPITAL).
  • Perform cycle counts and ensure FEFO/FIFO compliance.
  • Support hand-pick and forward storage slotting adjustments based on demand.

Team Support & Planning
  • Collaborate closely with AWP team members to identify limiting factors and maintain efficient order flow.
  • Assign Gaylords, manage WT for replenishments, and ensure flow rack and forward storage stock availability.
  • Escalate recurring issues and incorrect processes to managers for resolution and training.

Communication & Reporting
  • Communicate exceptions, order status, and systemic issues clearly and effectively to on-site teams and external partners.
  • Maintain accurate records of troubleshooting actions and system alignment checks.
  • Support business rule monitoring, including release limits and maximum order thresholds.
  • Productivity reporting on WT completion.

Requirements
  • Strong computer skills with proficiency in multiple warehouse management and automation platforms.
  • Excellent communication skills (written and verbal); able to act as a liaison between teams.
  • Strong math skills, with proven ability to problem solve. Algebra skills is preferred.
  • High attention to detail; capable of recognizing patterns, common denominators, and limiting factors.
  • Proficient in Microsoft Excel. Knowledge of basic formulas is preferred.
  • Reliable attendance and a collaborative, team-first mindset.
  • Positive attitude and professionalism; contributes to a work environment that is productive and enjoyable.
  • A background in Inventory Control and/or Order Wave Planning in a 3PL environment is preferred but not required.
