To thrive as an EveryAction Specialist, you need strong data management skills, experience with CRM platforms (especially EveryAction), and a background in nonprofit operations or fundraising. Familiarity with tools like EveryAction CRM, Excel, and basic reporting or data visualization software is typically required, along with relevant certifications in database management or nonprofit technology. Strong communication, problem-solving abilities, and attention to detail help you support teams and ensure accurate data handling. These skills are crucial for maximizing donor engagement, streamlining operations, and supporting successful fundraising campaigns within nonprofit organizations.

What are some common challenges faced by EveryAction administrators when managing large-scale campaigns?

EveryAction administrators often manage complex data sets and coordinate with multiple stakeholders across campaigns, which can present challenges such as ensuring data accuracy, maintaining clean records, and integrating with other digital tools. Balancing customization of workflows for different teams while keeping the system user-friendly can also be demanding. Job description

About the role:
The Data Manager will design, build, and maintain the data infrastructure needed to operationalize Indivisible's mobilization efforts. Reporting to the Operations Associate Director, this position serves as both a system architect and a hands-on administrator. You will bridge the gap between our mass mobilization tools and our internal operational workflows, ensuring that data moves seamlessly between systems to support data-informed strategy for our actions and campaigns.
This role works closely with the Mobilization Department to ensure our tools (EveryAction, Mobilize) and automated workflows (Airtable, Formstack) are aligned with the department's needs for large-scale actions, rapid response, and distributed events. You will also play a key role in triaging internal support requests and maintaining the integrity of our distributed technology stack.
This position is a good fit for someone with a background in political technology administration who is eager to build scalable systems and deepen their skills in technical operations within a mission-driven environment.
What you'll do:
System Architecture & Workflow Automation - 30%
  • Design and build automated workflows connecting our core platforms (EveryAction, Mobilize, Airtable, Formstack).
  • Audit current systems to identify bottlenecks and implement scalable solutions for high-volume mobilization moments and national days of action.
Data Hygiene & Database Administration - 25%
  • Serve as the primary administrator for EveryAction and Mobilize.
  • Execute routine data hygiene audits (de-duping, standardizing tagging), manage user permissions, and troubleshoot synchronization errors to ensure clean data for mobilization tracking.
Reporting & Action Analytics - 15%
  • Create and maintain dashboards to provide Directors and Mobilization staff with real-time metrics on event capacity, shift recruitment, and action outcomes.
  • Translate raw data into actionable insights for the Mobilization team.
Technical Support & Triage - 10%
  • Triage and route internal data support requests via our help desk (Freshdesk), resolving straightforward data issues and troubleshooting integration failures for Mobilization staff.
Training & Documentation - 10%
  • Train staff and mobilization leaders on data tools and best practices.
  • Create and update "how-to" guides and documentation to empower non-technical staff to utilize data effectively for their events.
Vendor & Project Management - 5%
  • Serve as the primary administrator for EveryAction and Mobilize.
  • Execute routine data hygiene audits (de-duping, standardizing tagging), manage user permissions, and troubleshoot synchronization errors to ensure clean data for mobilization tracking.
Other duties as assigned - 5%
Qualifications:
  • 2-3 years experience as an administrator or power user of political technology such as EveryAction (VAN) and Mobilize.
  • Workflow Automation Experience: Demonstrated success building complex bases in Airtable and designing logic-based forms/workflows in Formstack.
  • Data Logic: Strong understanding of relational database concepts, unique identifiers, and data mapping.
  • Problem-Solving: Strong ability to diagnose technical issues, troubleshoot integration failures, and devise creative solutions for data challenges.
  • Communication: Experience explaining technical concepts to non-technical users and translating complex processes into simple documentation.
  • Excel Proficiency: Strong comfort working with spreadsheets for data manipulation and reporting.
  • Remote Work: Ability to work effectively in a remote environment.

Qualifications:
  • Background in large-scale mobilization, rapid response, or volunteer coordination.
  • Experience with help desk or ticketing systems (Freshdesk experience a plus).
  • Basic knowledge of SQL or API integration tools (e.g., Zapier, Make).
  • Experience coordinating with vendors or tool contacts to resolve bugs or request features.

We're building together. We're building a new organization every day - a rare opportunity to model what we want to see in the world. We're deeply committed to equity and building a diverse and inclusive organization.
We're looking for you. If you want to fight for the soul of American democracy, there's no better place to be than Indivisible.
