POSITION/LEVEL: Events Admin & Venue Manager FLSA Status: Exempt

JOB SUMMARY AND DISTINGUISHING FEATURES OF THE WORK:

Industry City is a 16 building, 6 million commercial square foot campus located on the Brooklyn waterfront. A hub for creative and innovative companies and individual entrepreneurs and artists, IC is also a place of activity, art and events. We have grown our events business organically and are building new events venues and looking to hire someone who can support the growth of Industry Cityโ€™s event business with proactive outreach and onsite management.

The Event Admin and Venue Manager will report to the Director of Events.

Event and Venue Admin will be responsible for working alongside the event team to successfully plan and execute events at Industry City.

This person will help maintain communications and develop strong, positive relationships with clients and those inquiring at IC.

Event Admin and Venue Manager will help our team grow our events business and our procedures to help further Industry City as a destination and event venue.

The successful candidate is able to work independently, think on their feet and problem solve with a calm under pressure personality.

Both operationally and admin focused, the candidate will be able to juggle ongoing logistics within an environment that is constantly evolving as IC is a real estate development project and not a standard event venue.


Qualifications

Successful candidates should have a college diploma or some higher education

Experience with hospitality, venue and event management a plus.

  • Knowledge of hospitality and event operations preferred
  • Understanding of event operations and production requirements preferred
  • Excellent communication, organization, and guest relations skills โ€“ demonstrated history of ability to both develop and maintain relationships
  • Ability to acknowledge, solve problems and coordinate in a professional manner during active events, keeping the interests of both the client and Industry City in balance.
  • Ability to work a flexible schedule, including weekends and holidays is a must
  • Experience with MRI, TripleSeat, Prismm/AllSeated, Nexedus, Outlook and invoice management platforms is a plus


Key Responsibilities

Equal parts Admin and Venue Management

VENUE MANAGEMENT

  • Responsible for fully executing event from client introductions during load-in to completion of space reset following the event.
  • Cross check that all scheduled staff is in place and performing duties.
  • Onsite Troubleshooting and maintaining clear communication channels with respective labor team leads.
  • Upholding a 5min or less response time to all client needs
  • Conducting pre and post-walkthroughs to ensure space is fully cleaned and reset.

ADMIN

  • Assist Event Team with pre-planning logistics and on-site management of events, ranging from small retreats, workshops, offsites, holidays parties, trade shows, and other various events
  • Work in tandem with Director of Events and others on the event team to execute all aspects of events and establish IC events procedures to that we provide a first-class experience
  • Assist with management of events from start to finish โ€“ email communications, site visits, IC facilities coordination, inventory management, staff scheduling, and on-site management, as needed
  • Assist with inventory management of event department rentals and in-house materials
  • Responsible for monitoring client contractual requirements from both execution and marketing responsibilities
  • Develop and nurture client relationships to generate repeat business
  • Cross check Event Orders (TripleSeat and MRI) and manage weekly communications between departments as to inform of upcoming events and staffing needs
