Position Overview

The Event Sales Coordinator is a relationship-driven, highly organized, and proactive team member responsible for managing catering leads, building client relationships, creating proposals and contracts, and helping grow our catering business through networking and outreach.

This role is ideal for someone who is energetic, positive, professional, and excited by both hospitality and sales. The right candidate is not afraid to pick up the phone, build new relationships, ask questions, prospect new business opportunities, and confidently guide clients through the event planning process.

We are looking for someone who thrives in a collaborative environment while also being self-motivated and capable of managing responsibilities independently.

Key Responsibilities

Sales & Client Management

  • Serve as a primary point of contact for inbound catering inquiries and event leads
  • Build strong client relationships from initial inquiry through event booking
  • Conduct consultations to understand client needs, budgets, timelines, and event vision
  • Manage professional communication through phone calls, email correspondence, and meetings
  • Follow up consistently on proposals, contracts, and pending decisions
  • Guide clients through the planning and booking process with professionalism and hospitality

Proposal & Contract Management

  • Create customized catering proposals and event contracts
  • Prepare invoices, payment schedules, and sales documentation
  • Maintain accurate event details and client records within CRM/event software systems
  • Track deposits, signatures, revisions, deadlines, and event milestones
  • Collaborate closely with operations and culinary teams to ensure event accuracy and execution

Networking & Business Development

  • Prospect and develop new B2B and community partnerships
  • Attend networking events, venue tours, open houses, tastings, and industry events
  • Support growth initiatives through relationship building and community outreach
  • Help strengthen preferred vendor and venue partnerships throughout the region

Administrative & Team Support

  • Maintain organized sales records, calendars, and appointment schedules
  • Utilize Microsoft Outlook, Teams, Excel, and internal systems effectively
  • Support reporting and tracking of booked events and sales activity
  • Coordinate tastings, site visits, and internal sales meetings
  • Contribute ideas, process improvements, and collaborative solutions to support company growth
