Job description

TITLE: Event Setup & Facilities Assistant (Part-Time)
DEPARTMENT: Facilities
REPORTS TO: Facilities Director/Manager


GENERAL SUMMARY:Under the direction of the Facilities Director/Manager, this position works
closely with the Events Supervisor and other event staff to ensure seamless event execution. This role
plays a critical part in the success of events by overseeing the setup, breakdown, and maintenance of
event spaces. Responsibilities include assembling and disassembling event equipment, maintaining
cleanliness, and ensuring all event specifications are met. Additionally, during non-peak event seasons,
this position assists with facility projects, housekeeping support, and off-season event preparations to
maintain operational efficiency.

PRINCIPAL RESPONSIBILITIES AND DUTIES:

  • Assemble, disassemble, and move event equipment, including tables, chairs, podiums, and otherequipment.
  • Ensure all event spaces are set up according to the event specifications and timelines.
  • Clean floors prior to the set-up of an event and sweep after tearing down.
  • Maintain general cleanliness and appearance of event spaces and storage areas.
  • Coordinate with the Event Supervisor to ensure all requirements are met.
  • Perform post-event teardown and ensure all equipment is properly and safely stored.
  • Maintenance and cleaning of tables and chairs throughout season.
  • Report any damage to Event Supervisor.
  • Perform other duties as assigned.


Off-Season Projects:

  • Clean and ensure proper storage of event inventory to prepare for peak event season.
  • Help with pre-season event work of the Outdoor Garden.
  • Assist Housekeeping team during winter show.
  • Assist with de-lighting of trees from winter show
  • Help with various facilities projects during non-peak event seasons, such as flagging damagedevent items, taking items to and maintaining facilities storage areas.


KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong work ethic and a drive to self-initiate.
  • Ability to work flexible hours, including daytime, evenings, weekends, and holidays.
  • Guest service skills and ability to interact with vendors.


QUALIFICATIONS, EDUCATION, OR EXPERIENCE:

  • Must be able to demonstrate reliable and prompt attendance.
  • Must be able to manage time and complete tasks on schedule and efficiently.
  • High school diploma or equivalent.
  • Prior experience working in event setup or facilities preferred.
  • Driver's license preferred but not required.


PHYSICAL, MENTAL AND SENSORY DIMENSIONS

  • Must be able to frequently and consistently stand, walk long distances, and move, lift, or
    push up to 50 pounds while performing a full range of motion in both indoor and outdoor
    environments.
  • Must be able to work in a fast-paced environment.
