Coordinator, Event Operations and Experience
Department: Event Operations and Experience (Miami Open)
Direct Supervisor: Director, Event Operations and Experience (Miami Open)
Status: Full-time
Summary:
The Event Operations and Experience Coordinator will support the planning, design, and execution of the Miami Open, helping to create a best-in-class experience for guests, partners, and stakeholders. Working closely with the Director of Event Operations and Experience, this individual will serve as both a lead and support on multiple projects that shape the overall look, feel and functionality of the event.
The ideal candidate is a highly organized, self-motivated professional who thrives in a fast-paced environment, can successfully manage multiple projects simultaneously, and combines creative thinking with strong operational execution. They are passionate about live, large-scale events and delivering memorable guest experiences through thoughtful planning and attention to detail.
Location:
  • This is a full-time position based on site at Hard Rock Stadium in Miami Gardens, FL.
Responsibilities:
  • Campus Design amp; Experience
    • Support the overall design, planning and execution of the Miami Open through intentional planning of campus spaces, facades, signage, art installations, restaurant partners, and overall campus FF amp;E
    • Assist with the planning and execution of campus space build-outs, including layouts, FF amp;E, food and beverage integration and guest experience
    • Coordinate the development of creative design assets from concept through production, including design reviews, revisions, approvals and final artwork delivery to vendors
    • Source, coordinate and manage vendors across multiple campus projects, ensuring deliverables are completed on time and within scope
  • Fan Journey and Ancillary Event Planning
    • Support the planning of the fan journey for Miami Open guests, including arrival, parking, entrances, wayfinding and touchpoints throughout campus
    • Coordinate with internal departments to deliver a seamless guest experience from arrival through departure
    • Support the ideation, planning and execution of in-tournament Miami Open ancillary events, hospitality experiences and tournament programming
  • Project Management
    • Support multiple projects simultaneously while maintaining project timelines and deliverables
    • Assist with budget management, including managing budget trackers, processing purchase order and invoices, and monitoring expense
    • Track vendor contracts, insurance certificates and other required documentation
    • Coordinate with internal departments and external vendors to monitor project progress and communicate updates, deadlines and action items
Qualifications:
  • Bachelorโ€™s degree in Hospitality, Business, Marketing, Communications or related field preferred (or equivalent experience)
  • 1-2 years of experience in hospitality, event operations, experiential marketing, luxury events or related industries preferred
  • Outstanding organizational skills with the ability to manage multiple projects at once
  • Exceptional attention to detail and ability to work effectively in a fast-paced environment
  • Ability to build strong working relationships with internal stakeholders, vendors and external partners
  • Strong organizational skills, interpersonal, verbal and written communication skills
  • Flexibility to work extended hours, including evenings, weekends and event days as needed
  • Proficiency in Microsoft Office Suite (Word, Excel and PowerPoint)
  • Experience using software such as SketchUp, Bluebeam or similar platforms is preferred
