Summary:

Seeking a dedicated executive assistant to provide comprehensive administrative support to a team of public finance bankers working in a fast-paced, high-energy environment. Daily responsibilities including meeting coordination and scheduling, event planning, document preparation, and helping the team adhere to compliance policies and procedures.

Key Responsibilities
  • Meeting Coordination and Calendar Maintenance. Coordinate and schedule large meetings with both internal and external parties. Maintain calendars and coordinate events for our internal team.
  • Communication and Correspondence. Prioritize all incoming correspondence and email messages for the banking team keeping strict confidentiality. Coordinate internal communications. Establish and maintain a positive working relationship with the sales team and trading desk to assist them in selling public finance issues.
  • Event Planning. Plan and coordinate various events throughout the year. Includes booking venues, ordering swag, coordinating guest lists.
  • Marketing. Help maintain the team’s marketing strategies on various social media platforms, and work closely with our marketing team to ensure timely and relevant distributions of marketing campaigns.
  • Research. Gather/maintain data and research material from the Internet, including reports, industry publications, and public records from government organizations for the banking team business development and customer relation purposes.
  • Document Preparation. Printing and binding documents for various presentations.
  • Expenses. Coordinate payment of underwriting expenses and invoice distribution. Gather and submit expense reports for the team.
  • Perform any other duties as assigned.
Qualifications
  • Strong attention to detail, efficient and accurate communication, proofreading, research, filing and other administrative skills to effectively execute normal daily functions of the position.
  • Proven track record of success in a fast-paced and collaborative environment.
  • A self-starter with acute attention to detail, and superior critical thinking and problem-solving skills.
  • Time management and organizational expertise, with the ability to prioritize a diverse workload.
  • Proficiency with the Microsoft 365 Suite specifically Outlook, Excel, and PowerPoint.
  • Ability to multi-task and prioritize job assignments and have solid organizational skills.
  • Strong communication and interpersonal skills.
  • Ability to apply good judgment and appropriately handle sensitive or confidential information and situations.
  • Ability to work with minimal supervision either independently or as a team member, under strict time constraints and handle high-pressure situations.
  • Ability to learn and comply with FINRA, SEC and MSRB regulations, as well as company and division operations, policies and procedures.
  • Ability to work overtime as needed.
  • This role is 100% in-office Monday - Friday
  • 5+ years of executive administrative work history is preferred.

The potential base pay hiring range for this role is $36.00 - $41.00 per hour. The compensation offered will be determined on a case-by-case basis considering a variety of factors including, but not limited to, the skills, relevant work experience, and geographic location of each specific candidate. This role is eligible to participate in applicable D.A. Davidson variable compensation programs.
