We are seeking an experienced Event & Meeting Planner to lead the planning and execution of corporate meetings, leadership conferences, training programs, recognition events, retreats, and special events across our growing organization.

What You'll Do
  • Lead the planning and execution of corporate meetings and events from concept to completion.
  • Manage leadership conferences, multi-day events, training programs, retreats, incentive trips, and recognition events.
  • Develop event timelines, budgets, project plans, and logistical strategies.
  • Coordinate attendee communications, registration, travel arrangements, food and beverage, audiovisual needs, accommodations, and onsite logistics.
  • Serve as the primary liaison with hotels, venues, vendors, speakers, and service providers.
  • Conduct site visits and evaluate venues for quality, cost-effectiveness, and overall experience.
  • Manage event budgets and negotiate vendor contracts to maximize value.
  • Partner with executive and operational leadership to ensure events achieve their intended business objectives.
  • Build repeatable processes and standards as Bristol Hospice continues to grow its meetings and events program.
  • Measure event outcomes and identify opportunities for continuous improvement.
  • Provide onsite support and troubleshoot issues to ensure flawless event execution.

What You'll Bring
  • 5-10+ years of corporate meeting and event planning experience preferred.
  • Experience planning executive meetings, leadership conferences, incentive trips, and multi-day events.
  • Strong project management skills with the ability to manage multiple priorities simultaneously.
  • Experience managing event budgets, vendor relationships, and cross-functional stakeholders.
  • Exceptional communication skills and executive presence.
  • Strategic mindset with the ability to align meetings and events with organizational goals and culture.
  • Strong organizational skills, attention to detail, and ability to perform under pressure.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
  • High level of professionalism, discretion, and confidentiality.

Additional Requirements
  • Flexibility to work outside normal business hours as needed.
  • Ability to travel approximately 25% or more, sometimes with limited notice.
  • Valid driver's license and reliable transportation.
  • Ability to lift and carry event materials weighing up to 50 pounds.
  • Successful completion of background and drug screening requirements.
