Job description

The University of Virginia's Department of Parking and Transportation (P&T) seeks a dedicated and organized Event Parking Operations Specialist to support the logistics and execution of university events. This role is critical in ensuring smooth transportation and parking experiences during a wide variety of high-profile and routine events, including athletic games, Final Exercises (graduation), student move-in/move-out, conferences, workshops, and alumni gatherings. The successful candidate will support both on-site and administrative operations and must be comfortable working in a dynamic environment that includes both office and field assignments.
Responsibilities
  • Support the Special Event Operations Coordinator in planning and delivering all P&T-managed events.
  • Coordinate with internal teams and external partners for event planning, logistics, and follow-up.
  • Utilize parking management systems to manage event requests, approvals, billing, and closure.
  • Respond to public inquiries and concerns with professionalism and accuracy.
  • Maintain clear documentation of event procedures and operational plans.
  • Train part-time and student staff on event procedures, including the use of payment systems, signage, radios, and other equipment.
  • Support continuous improvement of event parking operations.
  • Use the parking and event management system to schedule, track, and document resources and activities.
  • Support event planning through data entry, coordination, and communication with team members and event hosts.
  • Assist with reporting and follow-up to ensure events are properly documented and closed out.
  • Drive University vehicles across Grounds to inspect parking facilities, traffic conditions, and event setups.
  • Transport, post, and remove event equipment including signs, barricades, and traffic cones.
  • Staff event locations to assist with customer service, verify access credentials, and manage payment systems.
  • Provide on-site coordination and communication with event staff to ensure smooth operations.

Minimum Qualifications
  • Bachelor's degree or combination of education, experience, and or certifications in lieu of degree requirement.
  • Experience: 3+ years of relevant experience.

Preferred Qualifications
  • Experience with event parking technologies such as mobile payment platforms, web-based registration tools, and variable messaging systems.
  • Relevant experience or education in event operations, parking/mobility services, public administration, or business administration.

Knowledge, Skills, and Abilities:
  • Excellent interpersonal, written, and verbal communication skills.
  • Strong collaboration and problem-solving skills in a team environment.
  • Ability to manage time effectively and respond to changing priorities.
  • Self-motivated, adaptable, and comfortable working independently or as part of a team.
  • Willingness to learn new systems and technologies.
  • Availability to work flexible hours, including evenings, weekends, and outdoors in varying weather conditions.

This position is designated Essential Personnel and is based in Charlottesville, VA.
