Job description

Arnot Health is seeking a reliable and customer-focused Client Service Representative to join our team. In this role, you will handle incoming and outgoing calls in our call center, support patient and community needs, manage documentation, oversee the complaint handling process, and help maintain a functional office environment. You will play a key role in ensuring excellent service and communication between patients, families, healthcare providers, and community partners.
Your Schedule

  • Part-time position, approximately 22 hours per week
  • Day/Evening rotational schedule
  • Every other weekend and various holidays required
What You'll Do
  • Answer and direct incoming calls, accurately assess caller needs, and transfer to the appropriate resources, including Health on Demand telenurses when necessary
  • Handle inbound and outbound calls for program registrations, appointment reminders, surveys, and community information requests
  • Maintain proficiency in required computer applications, including Microsoft Office Suite and clinical information systems
  • Support physician offices, patients, and outside answering services, ensuring professional communication and confidentiality in compliance with HIPAA
  • Oversee the complaint handling process, including documentation, follow-up, and report preparation
  • Track call volumes, invoices, and revenue for revenue-producing functions such as answering services and reminder programs
  • Prepare reports and maintain databases to support internal analysis and planning
  • Assist in maintaining office operations, including supplies, policy and procedure updates, and equipment oversight
  • Provide age-appropriate communication support across all patient populations
  • Demonstrate Arnot Health's commitment to patient satisfaction by delivering friendly, caring, and responsive service
What We're Looking For
  • Education: High School diploma or equivalent required
  • Experience:
    • Minimum three years of clerical experience in a hospital, healthcare, patient care, ambulatory, or medical practice setting preferred
    • Strong proficiency with computers and Microsoft Office Suite
  • Skills: Exceptional customer service, excellent verbal and written communication skills, strong listening abilities, and the ability to interact professionally with patients, families, and healthcare staff
  • Other Requirements:
    • Comfortable in a professional office environment involving frequent computer and telephone use
    • Detail-oriented, organized, and able to manage multiple responsibilities effectively
