What does an escrow assistant do?

As an escrow assistant, your job is to help transfer the title of property under agreed upon terms. To accomplish this, you may work with a bank to move money in and out of an escrow account, monitor each account and transaction for signs of fraud, interpret the contract the transacting parties agreed to, and coordinate with other financial services and companies as needed. Escrow is most often used when transferring the ownership of real estate, but it's also used to hold source codes for software, settlements from judicial cases, gambling payouts, mergers and acquisitions, and anything else where two or more groups want a neutral third-party to manage payments and delivery.

What are the key skills and qualifications needed to thrive as an escrow assistant, and why are they important?

To thrive as an Escrow Assistant, you need strong organizational skills, attention to detail, and a basic understanding of real estate or title processes, often supported by a high school diploma or relevant coursework. Familiarity with escrow management software, document preparation systems, and proficiency in Microsoft Office are typically required. Excellent communication, multitasking, and customer service skills help you efficiently coordinate with clients, agents, and lenders. These abilities ensure smooth, accurate, and timely completion of escrow transactions, which is critical for client satisfaction and legal compliance.

Job description

The Opportunity
We're looking for a detail-oriented, experienced escrow assistant to join our team at our Union Park office. This is a great role for someone with 1-3 years of experience in the title or escrow industry who's ready to sharpen their skills alongside experienced escrow officers and grow within a stable, well-established company. We are also open to hiring qualified candidates who have no experience in our industry. You'll be a key contributor to real estate transactions from opening to closing - keeping things accurate, on time, and running smoothly.
What You'll Do
As an Escrow Assistant, you will assist escrow officers in preparing, managing, and closing real estate transactions from start to finish. You will prepare and review closing documents, settlement statements (HUD/ALTA), and transaction correspondence. You will coordinate with lenders, realtors, and other title companies to balance transactions and ensure accuracy prior to closing. You will assist in clearing title by reviewing title commitments and coordinating the resolution of any title issues that arise. You will disburse and receive funds accurately, verifying all documentation and figures before release. You will coordinate communication between buyers, sellers, realtors, lenders, and other real estate transaction parties through phone and email. You will maintain organized, up-to-date transaction files in SoftPro throughout the closing process and assist with post-closing tasks, including document recording and file reconciliation.
What We Are Looking For
We are seeking an Escrow Assistant with 1 to 3 years of experience in title, escrow, or a closely related real estate field. Hands-on experience with SoftPro is strongly preferred, but we are open to hiring qualified candidates who have no experience in our industry. You should have a solid working knowledge of escrow processes, including settlement statement preparation, funds disbursement, and document recording. Strong attention to detail and the ability to catch and correct discrepancies before they become problems are essential. You should be a confident communicator with clear, professional written and verbal customer service skills for coordinating with clients and real estate partners. The ability to assist with multiple open files simultaneously in a fast-paced, deadline-driven environment is a must. A team-oriented mindset and willingness to coordinate and assist colleagues across the office will set you up for success. A Utah title insurance license or willingness to obtain one is required, and we will support you through that process.
Benefits & Perks
  • Medical, dental, and vision insurance
  • 401(k) retirement plan
  • Life insurance
  • Health Savings Account (HSA) and Flexible Spending Account (FSA)
  • Paid time off
  • Production bonuses tied to team performance
  • Opportunities for growth within Utah's largest independent title company
Why Join Cottonwood Title?

We invest in training, provide strong systems and processes, and give every Escrow Assistant the tools they need to do their job well.
