Job Summary
The Operations and Program Manager will work closely with the Ethics Institute Director and Associate Director on Institute operations, as well as with faculty leads on project implementation. Their responsibilities include managing budgets; tracking expenses, multiple accounts, transfers, and reimbursements; and working with external vendors. The Operations and Program Manager is responsible for personnel administration for the Institute, including hiring, organizing visiting researchers, and ensuring payments. They are also responsible for the planning and implementation of events and programs, tracking and reporting on Institute/Center activities, including grant funded projects, and providing administrative support for the preparation of grant proposals. The Operations and Program Manager will provide monthly reports to the Director of Research Development.
The Ethics Institute is an interdisciplinary unit with a focus on research and education innovation in applied ethics, including AI and data ethics, environmental ethics, social and economic justice, religion and ethics, research ethics, and bioethics. In addition to managing the Institute's day-to-day administration alongside the Director, the Operations and Program Manager will help connect Institute programs, projects, and events with partners throughout Northeastern's global network of campuses, as well as work with student groups and programs supported by the Institute. The College of Social Sciences and Humanities (CSSH) combines Northeastern University's signature approach to experiential learning with liberal arts education, interdisciplinary research, and community engagement, both locally and globally. The College comprises 20 academic units, including two schools, eight departments, and ten interdisciplinary programs, as well as 15 research centers and institutes. Key Responsibilities and Accountabilities
- Operations and Project Implementation: Supports Institute operations and project implementation. This includes working with the Director and Associate Director on Institute operations, including scheduling of projects and programs, maintaining records, organizing meetings, assisting with the preparation of reports and providing additional support as needed. It also involves working closely with the Director and project leaders on project implementation including around event planning and execution, contracts with vendors, travel and lodging arrangements for Institute members and project participants, and providing additional logistical support as needed.
- Budget: Manages the budget for the Institute and for individual programs, projects, and events. This includes tracking expenses and liabilities, reconciling the budget, ensuring timely payment of vendors and consultants, and assisting the Director and project leads in budgeting processes. It also involves providing analytic support and support on financial reporting to funders and to the university.
- Personnel: Assists the Institute Director, Associate Directors and project leaders with personnel matters. This includes hiring personnel for projects, making arrangements for visiting researchers, ensuring timely payment of personnel and consultants, providing logistical support for the Center/Institute's coop and work-study programs, and helping to on board visitors and participants in the Institute's residential programs.
- Development: Supports the Institute Director, Associate Directors, and project leaders in all aspects of development. This includes preliminary budget preparation and administrative support for grant proposals to federal agencies, proposals to foundations, and fundraising activities, as well as for fee for service and other contracts. Works closely with the Director of Research Development to identify source of potential funding and ensure Director/Associate Directors are aware of requirements associated with funding. Assists in the preparation of materials for submission.
- Cross-Function Communication and other duties as needed: Coordinates with the budget and research finance teams to ensure that center/institute budgets and projects align with MOUs and meet the needs of the Institute/Center. Coordinates with the marketing and communications team to plan and implement strategies to make Institute programs, projects and successes more visible. Assists with annual report preparation. Supports the communications team and project leaders on communications and marketing for individual projects and programs.
Minimum Qualifications
- Bachelor's degree required with a minimum of two years of administrative and project management experience, preferably in an academic environment. Master's degree preferred.
- Experience working with budgets is required.
- Experience organizing and running events is desirable.
- The Operations and Program Manager must be a quick learner, clear and competent writer, detail-oriented, collaborative, and capable of innovative problem solving.
- Must have technical skills and background experience with Microsoft Suite.
- Must have excellent interpersonal skills and be able to communicate effectively with students, faculty, vendors, and administrative contacts throughout the university.
- Must be flexible and highly organized, with the ability to work iteratively and with competing demands.
- Ability to create and coordinate events, meeting and event timelines, maintain accessible files, and manage multiple events, programs, and projects at once.
