Opportunity Overview

We have an immediate opening for a Medical Administrative Assistant to join our team at Ovation Fertility in Austin, Texas.

  • Schedule: Monday through Friday, from 7:30 AM to 4:00 PM, with every third weekend from 7:00 AM to 11:00 AM, and 2 to 3 holidays per year

In this role, the Medical Administrative Assistant will:

  • Provide day-to-day support to ensure efficient operations of the Ovation Lab Administration Department
  • Prepare IVF Lab folders for upcoming IVF, FET, and Donor egg cycles
  • Scan to file and print completed IVF, FET, and Donor egg cycles
  • File completed IVF folders
  • Photocopy forms and packets used in IVF lab
  • Order office supplies
  • Answer Ovation website inquiries
  • Schedule Semen Analysis, IUI, and Sperm Cryo appointments by phone
  • Upload results to patient portal and fax results to referring MD office
  • Perform other clerical duties as determined by Management

Qualifications and Skills Include:

  • High School diploma required
  • 1 year of data entry into an EMR system
  • Experience as an Administrative Assistant strongly preferred
  • Excellent interpersonal, multitasking, and organizational skills
  • Ability to work independently
  • Exceptional written and verbal communication and attention to detail
  • Ability to work as part of a team
  • Flexibility and willingness to learn
  • Computer skills including Microsoft Word, Excel, Access
  • Knowledge of relevant clinical and patient care regulations, policies, procedures, and standards
