Design Hire LLC is a growing technical staffing firm specializing in engineering, construction, manufacturing, design, and other technical professionals. We support clients nationwide through direct-hire, contract, and contract-to-hire recruiting solutions.

We are building a modern staffing company that uses automation, artificial intelligence, data, and strong business processes to improve recruiting and sales performance.

We are looking for an ambitious, technically capable individual who wants to build a long-term career at the intersection of AI, automation, business operations, data, and recruiting technology.

This person will become Design Hire’s internal technical and automation specialist, working directly with ownership and our recruiting, sales, and operations teams to identify problems and build practical solutions.

The Opportunity

The Junior Automation and AI Specialist will design, build, test, document, and maintain systems that support every stage of our recruiting and sales process.

You will connect our CRM, applicant tracking system, sourcing tools, outreach platforms, spreadsheets, email systems, reporting tools, and AI applications. You will also build AI agents and automated workflows that reduce manual work, improve data quality, and help the team operate more efficiently.

This is not a traditional help desk or narrowly defined development role. It is a hands-on business technology position for someone who enjoys learning systems, solving operational problems, and turning ideas into usable tools.

What You Will Support

You will help automate and improve:

  • Client and sales lead identification.
  • Contact and company data enrichment.
  • Job intake and job-description creation.
  • Candidate sourcing, screening, and qualification.
  • Resume processing and data extraction.
  • Candidate and client outreach.
  • Submittal preparation and interview scheduling.
  • Feedback, offer, placement, and guarantee tracking.
  • CRM and ATS data cleanup and synchronization.
  • Recruiting and sales reporting.
  • Internal documentation and training.

Key Responsibilities

AI Agents and Automation

  • Build and maintain AI agents for recruiting, sales, research, reporting, communication, and administrative work.
  • Create prompts, decision rules, validation steps, and human-review workflows.
  • Connect AI tools to approved systems through APIs, webhooks, integration platforms, or scripts.
  • Test outputs for accuracy, consistency, security, and business usefulness.
  • Monitor performance and continuously improve workflows.

Recruiting and Sales Systems

  • Learn Design Hire’s recruiting and sales processes from beginning to end.
  • Identify repetitive tasks that can be automated, simplified, or standardized.
  • Build workflows that create tasks, update records, schedule follow-ups, trigger reminders, and route information.
  • Improve movement of data between sourcing tools, spreadsheets, the ATS, CRM, and communication systems.
  • Create tools that identify missing information, duplicate records, overdue follow-ups, and stalled processes.
  • Support lead generation, market research, contact enrichment, account segmentation, and campaign tracking.

CRM, ATS, and Data

  • Support the administration and improvement of the company’s CRM and applicant tracking system.
  • Maintain accurate records across candidates, contacts, clients, jobs, submittals, interviews, placements, and follow-up activity.
  • Standardize fields, naming conventions, tags, statuses, and workflow rules.
  • Build processes for data validation, deduplication, migration, import, export, and reconciliation.
  • Create dashboards and reports that provide visibility into activity, pipeline, conversions, placements, and revenue.

Process Improvement

  • Meet with recruiters, sales professionals, and leadership to understand workflows and pain points.
  • Map current processes and design improved future-state workflows.
  • Identify unnecessary steps, manual handoffs, duplicated work, and bottlenecks.
  • Recommend whether a problem should be solved through automation, training, process changes, or system improvements.
  • Build solutions that are simple enough for nontechnical users to operate.
  • Measure results through time savings, accuracy, speed, and adoption.

Development and Integrations

  • Work with APIs, webhooks, databases, spreadsheets, and integration platforms.
  • Create lightweight internal applications, scripts, utilities, dashboards, and workflows.
  • Build logging, alerts, error handling, and fallback procedures.
  • Test solutions before deployment and monitor for failures or unexpected results.
  • Maintain documentation and version history for all automations and integrations.

Email, Systems, and Security

  • Help administer company email accounts, domains, aliases, mailboxes, and user settings.
  • Maintain and monitor SPF, DKIM, DMARC, domain health, bounce rates, complaints, and sender reputation.
  • Review mailbox permissions, forwarding rules, connected applications, and risky configurations.
  • Help configure computers, accounts, approved devices, business applications, and user permissions.
  • Maintain an inventory of systems, subscriptions, domains, accounts, integrations, and access owners.
  • Support multifactor authentication, password standards, role-based permissions, backups, recovery, and offboarding.
  • Coordinate with outside IT, security, or development vendors when specialized support is required.

Documentation and Training

  • Create standard operating procedures, process maps, data dictionaries, and troubleshooting guides.
  • Record training videos and develop clear step-by-step instructions.
  • Train employees on new tools and workflows.
  • Maintain change logs and document ownership, dependencies, and maintenance requirements.
  • Ensure critical systems are not dependent on knowledge held by one person.

Initial Priorities

Early priorities may include:

  • Mapping the company’s recruiting and sales technology stack.
  • Auditing CRM, ATS, email, domains, DNS, permissions, and integrations.
  • Identifying disconnected systems, duplicate data, and manual work.
  • Building a centralized inventory of software, accounts, subscriptions, and access.
  • Creating a prioritized automation roadmap.
  • Improving candidate, client, job, placement, and financial data flow.
  • Building one or two high-impact AI agents.
  • Establishing testing, documentation, approval, and monitoring standards.

Qualifications

  • One to three years of experience in automation, software development, information systems, data operations, CRM administration, AI, technical support, or a related field.
  • Internships, freelance work, certifications, portfolio projects, or personal projects may substitute for formal experience.
  • Demonstrated ability to build automations, scripts, integrations, applications, AI agents, or data workflows.
  • Basic knowledge of APIs, webhooks, databases, structured data, and system integrations.
  • Experience with CRM, ATS, ERP, marketing automation, or similar platforms.
  • Familiarity with AI tools, large language models, prompts, retrieval systems, or agent frameworks.
  • Basic programming or scripting ability.
  • Strong spreadsheet, data, troubleshooting, and problem-solving skills.
  • Interest in recruiting, staffing, sales operations, or business-process improvement.
  • Strong documentation, communication, organization, and accountability.
  • Ability to work independently in a remote environment.
  • Bachelor’s degree in a technical or analytical field preferred but not required.
