Summary

The Office & HR Assistant serves as a key support role for both the Human Resources and Administrative functions of the organization. This position is responsible for maintaining efficient office operations while supporting Human Resources through recruiting, onboarding, employee administration, event coordination, and HR recordkeeping. The role serves as the primary recruiter for entry-level and hourly positions while ensuring an exceptional candidate and employee experience.


Essential Duties and Responsibilities


Human Resources Support

  • Provide administrative support to the Human Resources department while maintaining the integrity and confidentiality of employee files and records.
  • Coordinate recruiting activities for entry-level and hourly positions.
  • Post job openings and monitor recruiting platforms.
  • Review applications and coordinate candidate communications.
  • Schedule interviews and maintain recruiting calendars.
  • Conduct initial phone screenings for entry-level candidates.
  • Coordinate background checks, pre-employment screenings, and onboarding paperwork.
  • Prepare offer letters and new hire documentation.
  • Coordinate and assist with new hire orientation.
  • Maintain recruiting metrics and applicant tracking information.
  • Assist with HRIS data entry and employee record maintenance.
  • Support employee engagement activities and recognition programs.
  • Assist with benefits enrollment events and HR initiatives.


Office Administration

  • Handle office administrative tasks including filing, organization, scheduling meetings, and document management.
  • Resolve office-related issues independently and escalate when appropriate.
  • Coordinate travel arrangements for employees and visitors.
  • Order, organize, and maintain office supplies.
  • Prepare reports, correspondence, and internal communications.
  • Coordinate company events, meetings, celebrations, and training sessions.
  • Process and maintain monthly office expenses.
  • Serve as the primary point of contact for IT-related requests and coordinate with vendors.
  • Coordinate workstation setup for new hires, including computers, phones, and office supplies.
  • Maintain vendor relationships.
  • Ensure reception areas, conference rooms, kitchens, and common areas remain organized and presentable.
  • Perform other administrative and HR-related duties as assigned.


Qualifications

  • Associate's degree in Business Administration, Human Resources, or a related field preferred.
  • A minimum of two (2) years of administrative, office management, recruiting, or Human Resources experience may be considered in lieu of an associate's degree.
  • Previous administrative experience required.
  • Previous Human Resources or recruiting experience preferred.
  • Strong organizational skills and attention to detail.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities.
  • Ability to maintain confidentiality.
  • Strong problem-solving skills.
  • Microsoft Office proficiency.
