We're seeking a highly organized and action-oriented full time team member to support the execution of administrative activities related to providing QualiTech customers with superior service and support our upcoming rebrand marketing initiatives. Right candidate will be a detail-oriented individual who thrives in a fast-paced environment and can seamlessly manage multiple priorities. This role will ensure consistent messaging across various channels. This could be a great opportunity for an entry level candidate to gain experience in multiple departments in one role.
Hours - 10am to 6pm
Essential Duties and Responsibilities:
Customer Service:

โ€ข Serve as the primary backup to the Customer Service Manager, assisting with day-to-day tasks and covering responsibilities during absences or peak periods.
โ€ข Support order entry and processing in the ERP system, ensuring timely shipment and accurate documentation.
โ€ข Assist with invoicing, including submission to customers via email, mail, or customer systems, and process credit/debit memos as required.
โ€ข Respond to customer inquiries, documentation requests, and order updates; communicate needs, issues, or concerns to the sales team and management to ensure prompt resolution and satisfaction.
โ€ข Assist in coordinating customer freight deliveries and logistics within the company's freight management system.
โ€ข Collaborate across departments to resolve order delays, production issues, or shipment concerns, ensuring a seamless customer experience.

โ€ข Assist in social media management, public relations outreach support and general marketing support.

Office Administrative Support
  • Serve as the primary administrative point of contact for office vendors and service providers; coordinate routine service requests, troubleshoot issues, and maintain vendor contacts and contracts.
  • Provide day-to-day administrative support for office operations, including facilities coordination, janitorial follow-up, entrance updates, and holiday notices.
  • Manage office supply, breakroom, and general inventory needs; coordinate ordering and vendor support to ensure consistent availability.
  • Maintain offsite storage records and inventory using designated tracking systems or online portals.
  • Maintain standardized administrative documents, calendars, directories, and organizational charts.
  • Support front desk and office communications, including voicemail management, digital displays, email distribution lists, and general office messaging.
  • Coordinate seasonal office activities, including holiday dรฉcor setup and tear-down, services awards, and employee recognition (cards, and acknowledgments) in collaboration with department leadership.
  • Provide general administrative and operational support, including assistance on equipment issues.
Education and Experience
โ€ข High School diploma or higher.
โ€ข At least 2 years of Customer Service or relevant experience.
โ€ข Experience in manufacturing environment is highly desirable
