Controlled Combustion is the leading heating contractor in NYC. We serve a variety of industries, including luxury apartments, hospitals, universities, and more. With over 150 employees, our team is as diverse as the services we offer.


We’re looking for an entry-level AI & IT Support Assistant to work directly with our IT Manager in supporting the company’s use of AI tools, internal technology systems, and business workflows. This role is ideal for someone who is interested in artificial intelligence, comfortable using tools such as ChatGPT, Claude, and Microsoft Copilot, and eager to learn how AI can be used to improve day-to-day business operations.


This is not a senior AI developer or software engineering position. It is a hands-on support role designed for someone early in their AI or technology career who wants to gain practical experience with AI tools, workflow support, documentation, and IT-related projects under the direction of the IT Manager.


This role will assist with testing AI tools, creating prompt templates, organizing AI-related documentation, supporting internal users, and helping identify opportunities to improve efficiency through AI-assisted workflows.


Please note that this position is strictly in-office. Hybrid or remote is not available for this position. Employee will be expected to commute to our Bronx office on a daily basis.



Responsibilities

  • Assist the IT Manager with AI-related projects, internal technology initiatives, and workflow improvements.
  • Use tools such as ChatGPT, Claude, Microsoft Copilot, and other approved AI platforms to support business processes.
  • Help create, test, and organize prompt templates for common company tasks.
  • Assist in building internal AI usage guides, training materials, checklists, and standard operating procedures.
  • Test AI tools and workflows to determine where they may improve efficiency, accuracy, or organization.
  • Support employees in learning how to use approved AI tools effectively and responsibly.
  • Assist with AI-powered document creation, summarization, research, data organization, and communication tasks.
  • Help maintain organized records of AI tools, prompts, procedures, and internal technology resources.
  • Review AI-generated content for accuracy, clarity, professionalism, and consistency.
  • Help identify repetitive tasks that may be improved with AI assistance or basic automation.
  • Assist with Microsoft 365, Copilot, spreadsheets, shared files, and other common business software as needed.
  • Provide general administrative and technical support to the IT Manager as needed.
  • Maintain discretion when handling company information, internal documents, vendor information, employee data, or other sensitive materials.
  • Assist with special projects related to AI, IT, documentation, and process improvement.

Qualifications / Skills

  • Working knowledge of ChatGPT, Claude, Microsoft Copilot, or similar AI platforms.

  • Basic knowledge of databases, data organization, and how information is stored and retrieved.
  • Familiarity with SQL or willingness to learn basic SQL queries for reporting, data lookup, and workflow support.
  • Ability to work with spreadsheets, tables, reports, and structured data with strong attention to detail.
  • Strong written communication skills with attention to grammar, clarity, and tone.
  • Organized, dependable, punctual, and able to follow instructions carefully.
  • Ability to work under the direction of the IT Manager and support assigned projects.

Minimum Education and Work Experience

  • High school diploma (or equivalent) required
  • Some college, technical training, or coursework in information technology, computer science, business, communications, or a related field is a plus.
  • Prior office, administrative, technology, or IT support experience preferred.
  • Experience using ChatGPT, Claude, Microsoft Copilot, or similar AI tools preferred.
  • Experience creating guides, templates, SOPs, checklists, or documentation is a plus.
