Job description


Position Summary
Performs financial coding, review, reconciliation, reporting, and preparation of financial summaries for all Health Department bureaus. Provides administrative support by maintaining records, processing information, and assisting with departmental functions. Coordinates troubleshooting for the deposit safe system and supports travel coordination and general administrative activities for the Finance & Administration Department.
Pay Grade: 45
Salary Commensurate with Experience and Education
Minimum Qualifications
  • Four (4) years of experience in an administrative or coordinator capacity or related field; and a high school diploma or possess a GED; OR

  • Three (2) years of experience in an administrative or coordinator capacity or related field; and two (2) years of college study (60 semester hours or 72 quarter hours).

  • PROOF OF EDUCATION, TRAINING, AND/OR EXPERIENCE IS REQUIRED.

Duties and Responsibilities
  • Performs entry-level accounting and reconciliation for cash, debit, credit, ACH, and check payments received from Health Services Division Bureaus.

  • Prepares and submits Daily Summary Deposit forms to the Central Finance Office.

  • Monitors deposit denials, identifies coding issues, and works with departments and Central Finance to resolve discrepancies.

  • Generates and reviews deposit reports from Loomis and banking systems, following up with departments as needed.

  • Ensures all funds are accurately coded and posted to the appropriate accounts.

  • Assists SmartSafe users with troubleshooting and provides support for travel requests.

  • Performs general administrative and office support duties.

  • Performs other related duties as assigned or directed.

  • Ability to maintain accurate records and perform detailed administrative tasks.

  • Strong organizational skills with attention to detail and professionalism in all interactions.

  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) and County software applications.

Special Requirements
  • May be required to travel to other Shelby County offices.

  • May be required to work extended hours, including weekends and events.

  • Must be able to type 25 wpm.
