Role Overview

We are seeking a motivated and detail-oriented Leasing Associate to join our dynamic property management team. The Leasing Associate will be responsible for leasing activities, resident relations, tenant screening, application processing, lease administration, customer service, and property management support. The ideal candidate will have experience with leasing operations, property management processes, CRM systems, Entrata or Yardi software, data entry, compliance, and resident communication.

Key Responsibilities

  • Assist prospective residents and tenants throughout the leasing process, including providing property information, answering questions, scheduling and conducting property/unit tours, and following up with prospects.
  • Process rental applications, perform accurate data entry, maintain applicant records, and ensure compliance with company policies, Fair Housing requirements, and applicable housing regulations.
  • Prepare, maintain, and manage lease agreements, resident files, tenant records, and leasing documentation.
  • Maintain accurate records of prospective and current resident interactions within the Customer Relationship Management (CRM) system.
  • Utilize Entrata and/or Yardi Property Management Software to track leases, manage tenant/resident accounts, update records, and generate reports.
  • Respond to resident and prospect inquiries by phone, email, and other communication channels while demonstrating excellent customer service, communication skills, and professional phone etiquette.
  • Coordinate with the maintenance team and utilize Computerized Maintenance Management Systems (CMMS) to track and follow up on resident maintenance requests.
  • Maintain knowledge of local, state, and federal housing regulations, including applicable Fair Housing and LIHTC regulations.
  • Support lease renewals, resident retention, occupancy goals, rent collection support, and leasing administration as needed.
  • Assist with marketing and leasing activities, including property promotions, prospect follow-up, lead management, and resident communications.
  • Perform general administrative duties, including filing, document management, data entry, record keeping, and maintaining organized leasing office operations.
  • Provide exceptional resident relations and customer service while identifying opportunities to upsell services and promote available property amenities.

Required Qualifications

  • Experience in leasing, property management, apartment leasing, or real estate preferred.
  • Strong administrative, organizational, data entry, and record-keeping skills with attention to detail.
  • Excellent verbal and written communication, customer service, and phone etiquette.
  • Bilingual in English and Spanish preferred.
  • Experience with CRM and property management software; Entrata or Yardi preferred.
  • Knowledge of Fair Housing, leasing compliance, tenant screening, housing regulations, and LIHTC preferred.
  • Strong resident relations, problem-solving, and conflict-resolution skills.
  • Experience with lease agreements, legal documentation, lease renewals, resident retention, and prospect follow-up preferred.
  • Ability to upsell services, manage multiple priorities, and work effectively in a fast-paced team environment.
