JOB DESCRIPTION
The New York office of Alston & Bird is accepting applications for the position of Legal Support Assistant. Please note that this position is intended for individuals interested in pursuing a career within the administrative team of a law firm. Candidates that are considering attending law school in the future should apply for a paralegal and/or case assistant role.
As a Legal Support Assistant, you will be a critical part of Alston & Bird's world class professional service staff. You will be part of a team that delivers a high level of customer service, known as Alston & Bird's TOP ECHELON service, supporting our internal and external clients. In this role, you will provide high support, strong analytical capabilities, and a high degree of attention to detail. The Legal Support Assistant provides comprehensive administrative, operational, and analytical support to attorneys, Legal Administrative Assistants, and practice group leadership. This role requires exceptional organizational skills, strong attention to detail, advanced analytical capabilities, and the ability to manage multiple priorities in a fast-paced professional services environment. The successful candidate will serve as a key resource in supporting client service initiatives, reporting and data analysis, expense management, travel coordination, and a wide range of administrative functions.
ESSENTIAL DUTIES
  • Collaborate closely with attorneys, Legal Administrative Assistants, and other business professionals to provide comprehensive administrative support and assist with a variety of department initiatives, special projects, and time-sensitive assignments.
  • Prepare, analyze, and maintain complex client and matter-related reports, including billing rate analyses, client activity reports, productivity metrics, and other data-driven reporting used to support practice group operations and strategic decision-making.
  • Reconcile and validate client-level statistical reports, ensuring accuracy, consistency, and completeness of data across multiple systems and reporting platforms.
  • Process, review, and track business development, client entertainment, and travel expense reports in accordance with firm policies and reimbursement guidelines.
  • Accurately enter, review, and revise attorney time entries, ensuring timely and compliant submission of billable and non-billable time.
  • Coordinate domestic and international travel arrangements, including the preparation of detailed itineraries, transportation logistics, accommodations, meeting schedules, and supporting travel documentation.
  • Manage conference room scheduling and meeting logistics, including catering arrangements, audiovisual requirements, attendee coordination, and preparation of meeting materials.
  • Draft, proofread, edit, and format a wide range of client correspondence, legal and administrative documents, presentations, and other professional communications with a high level of accuracy and attention to detail.
  • Process incoming and outgoing mail, courier shipments, and overnight deliveries, ensuring timely and accurate handling of sensitive and confidential materials.
  • Coordinate and oversee large-scale mailing and distribution projects, including the creation and management of mailing lists, labels, name badges, event materials, and related logistics.
  • Maintain and update databases, client records, and electronic filing systems; organize and manage digital documents; and assist with document production, scanning, indexing, and records management initiatives.
  • Utilize strong analytical, organizational, and problem-solving skills to identify discrepancies, streamline administrative processes, improve operational efficiency, and support the evolving needs of attorneys, clients, and practice groups in a fast-paced legal environment.
  • Handle highly confidential and sensitive information with discretion while consistently demonstrating professionalism, sound judgment, and exceptional client service.

Skills Needed To Be Successful
  • Advanced proficiency in Microsoft Office applications, with a particular emphasis on Excel for data analysis, reporting, reconciliation, and information management.
  • Strong working knowledge of emerging AI and productivity tools, including Microsoft Copilot and other technology solutions that enhance efficiency and workflow management.
  • Demonstrated ability to analyze complex data, identify discrepancies, draw logical conclusions, and provide actionable recommendations.
  • Solid understanding of general office procedures, records management practices, and filing systems, with exceptional attention to detail and accuracy.
  • Ability to prioritize competing deadlines, manage a high-volume workload, and adapt quickly to changing business needs.
  • Strong written and verbal communication skills with the ability to interact professionally and effectively with attorneys, clients, vendors, and colleagues at all levels of the organization.
  • Proven ability to work independently, exercise sound judgment, and proactively resolve issues with minimal supervision.
  • Exceptional organizational, time-management, and project coordination skills.
  • Flexibility to work additional hours as needed to meet business demands and support time-sensitive client and practice group requirements.

Education & Experience
  • A bachelor's degree from an accredited four-year college or university is required.
  • Advanced proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is highly desirable.
  • Experience working with reporting tools, databases, document management systems, and legal technology platforms is a plus.
  • Demonstrated success in an administrative role requiring both high-level organizational skills and strong analytical acumen.

In accordance with New York State and New York City pay transparency requirements, the anticipated annual salary range for this position is $60,000 to $70,000. This range reflects the Firm's good faith estimate of the compensation that it reasonably expects to pay for the position at the time of this posting. Actual compensation will be determined based on several factors, including, but not limited to, relevant experience, skills, qualifications, education, training, certifications, and other business and organizational considerations. This salary range applies to positions performed in New York City, New York, and may vary for positions in other geographic locations. In addition to base salary, employees may be eligible for a comprehensive benefits package and other firm-sponsored programs, where applicable.
