Secretary I Lakewood, CO | Full-Time Contract | On-Site Join a High-Impact Federal HR Team

Join a high-impact federal operations team supporting mission-critical energy and infrastructure functions. The Secretary I provides comprehensive administrative and operational support to the Western Area Power Administration (WAPA).

This role is responsible for ensuring efficient day-to-day administrative operations, supporting training programs, maintaining records and systems, and handling sensitive information in compliance with federal standards and procedures.

Key Responsibilities

· Maintain a detailed log of all incoming administrative support requests.

· Document and maintain standard operating procedures for repeatable work.

· Maintain current listings of contacts for various internal and external departments.

· Manage the telephone mainline, ensuring all incoming calls are answered promptly and routed to the appropriate departments.

· Coordinate international calls and TTY calls effectively.

· Maintain conference room and motor pool scheduling accurately.

· Answer and direct incoming calls professionally and efficiently, providing a positive first point of contact for the organization.

· Coordinate complex internal and external communication requirements, including international calls and accessibility services like TTY.

· Utilize Microsoft software proficiently to maintain and develop documents.

· Assist colleagues with common software inquiries.

· Prepare printing requests as needed.

· Update the headquarters organizational chart/listing and service directory for the organizational webpage.

· Support the internal website and contribute to the internal newsletter.

· Consolidate technical guide paragraphs into clear and concise task order specifications.

· Perform general administrative duties such as filing and scheduling appointments, including those for executive staff.

· Independently manage projects, conducting research and preparing presentation materials as required.

· Make travel arrangements for staff.

· Ability to work independently and in coordination with a team.

· Educate customers proactively about available services and resources.

· Provide attentive and supportive assistance to internal and external customers.

Qualifications

Required

  • High School Diploma or equivalent (GED); Associate’s or Bachelor’s degree preferred
  • 2–4 years of relevant administrative or clerical experience
  • Strong organizational skills with exceptional attention to detail
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams)
  • Ability to manage multiple tasks and prioritize effectively
  • Strong written and verbal communication skills

Preferred

  • Associate degree in Business Administration, Office Management, Engineering Technology, or related field preferred
  • Experience supporting WAPA, DOE, or similar federal agencies
  • Familiarity with Concur, ATAAPS, SharePoint, or similar systems
  • Experience with records management and document control processes
  • Knowledge of federal security and compliance environments
Security Clearance Requirement
  • U.S. Citizenship required
  • Ability to obtain and maintain a federal security clearance (Secret / Top Secret / Public Trust)
  • Employment is contingent upon successful background investigation and PIV card issuance
