Mullen & Filippi provides comprehensive Workers' Compensation Defense legal services to California employers on issues arising from workplace injuries and other employment-related concerns. 


The Legal Secretary/Office Lead performs a variety of legal support and administrative responsibilities to assist in the effective operation of the firm. The Legal Secretary is expected to maintain positive and professional communication with clients, attorneys, and staff while ensuring strict confidentiality of all firm and client matters. This is an excellent opportunity to join an established and reputable law firm with fifteen offices throughout the state.

PROFESSIONAL RESPONSIBILITIES

  • Format and proofread transcription that has been digitally transcribed and edit legal documents for correct grammar and punctuation.
  • Schedule and coordinate depositions, medical examinations and other court designated hearings.
  • Act as a liaison between client and attorney by furnishing and requesting information as needed to assist in completion of administrative reports as required by client or assigned by office management.
  • Draft routine correspondence.
  • Assist attorney with trial preparation, including preparation of trial exhibits.  
  • Assist Senior Regional Office Manager with the day-to-day office operations and facility needs, including reporting issues, monitoring office appearance.
  • Assist Senior Regional Office Manager with maintaining adequate local office coverage, including monitoring schedules and assisting with vacation and time-off coordination.

Requirements

  • 3-5 years of legal secretary workers' compensation defense experience and EAMS filing required
  • Have a personable and friendly character
  • Proficient in Microsoft Outlook and Word
  • Tech savvy with the ability to learn and become proficient in using case management software
  • Able to identify urgency and prioritize tasks accordingly  
  • Provide administrative information to attorneys and staff to ensure high-quality client service, including assisting with the distribution of client litigation guidelines (administrative communication only).
  • This has the opportunity of becoming a hybrid position

Position requires sitting for up to 6 hours per day while keyboarding and physical activity including, but not limited to, bending, stooping, walking, kneeling, crouching, reaching, repetitive motions and lifting of up to 25 pounds.
