ESN is currently looking for a Documentation Team Lead ANM 1-3 to join a highly motived and skilled team, in support of the BA-ISEA program.
Duties:
  • Content Creation & Maintenance:
    • Oversee the development, review, and maintenance of accurate and up-to-date KB articles for applications.
    • Establish and enforce content standards for clarity, accuracy, and completeness.
    • Implement a system for tracking KB article usage, feedback, and version control.
  • Knowledge Sharing & Accessibility:
    • Ensure KB articles are easily searchable and accessible through SharePoint and integrated Microsoft 365 tools.
    • Promote the use of the KB as a primary resource for troubleshooting, training, and self-service support.
    • Collaborate with subject matter experts to gather and incorporate new knowledge into the KB.
  • Development & Review:
    • Lead the development, review, and update of policies and procedures related to applications, ensuring alignment with organizational standards and industry best practices.
    • Facilitate collaboration with stakeholders to gather input and ensure buy-in on policy and procedure content.
    • Conduct periodic reviews to ensure policies and procedures remain current and relevant.
  • Compliance & Enforcement:
    • Implement mechanisms to monitor compliance with established policies and procedures.
    • Provide guidance and training to staff on policy and procedure interpretation and application.
    • Update and revise policies and procedures as needed to address changing requirements or compliance obligations.
  • Technical Advisory & Fleet Advisory Messages:
    • Oversee the creation, review, approval, and distribution of technical advisories and fleet advisory messages related to applications.
    • Ensure messages are clear, concise, and effectively communicate critical information to the intended audience.
    • Maintain a repository of all message traffic for historical reference and audit purposes.
  • Accessibility & Distribution:
  • Develop and implement a system for controlled access and distribution of application documentation.
  • Ensure timely dissemination of documentation updates to relevant stakeholders.
  • Standardization & Quality Control:
  • Establish and enforce documentation standards for formatting, style, and terminology to ensure consistency and professionalism.
  • Implement a quality control process to review all documentation for accuracy, clarity, and compliance with established standards.
  • SharePoint Administration:
  • Manage and maintain the SharePoint site(s) used for storing, organizing, and accessing application documentation.
  • Configure SharePoint permissions to ensure appropriate access controls are in place.
    • Develop and maintain libraries, lists, and metadata to improve document lifecycle management and version control.
    • Utilize Power Automate to streamline document reviews, approval workflows, notifications, and routing processes.
    • Support the development of Power Apps solutions to enhance documentation intake, tracking, and reporting activities.
    • Coordinate with stakeholders to implement platform improvements that increase efficiency and reduce manual processes.
  • Documentation Audits:
  • Conduct regular audits of documentation to ensure accuracy, completeness, and compliance with established standards.
  • Compliance Monitoring:
  • Stay abreast of relevant regulations, standards, and best practices related to technical documentation and knowledge management.
  • Implement processes to ensure documentation practices remain compliant with applicable requirements.

Experience Required:
Minimum of 3 years of experience in technical writing, knowledge management, or a related field, including experience with documentation control and versioning systems.
Education:
Bachelor's degree in Technical Writing, Communications, Information Management, or a related field.
Desired Skills:
  • Excellent written and verbal communication skills.
  • Strong understanding of technical documentation principles and best practices.
  • Experience with knowledge management systems and content management systems (e.g., SharePoint).
