The Western Canada region is experiencing significant growth, and CIMA+'s Project Management team is at the forefront of delivering complex and impactful projects. To support the momentum, we are seeking Document Control Advisors with strong backgrounds to join us as we grow our dynamic Project Management team. As a member of this team, you will contribute to projects across a wide range of industries, including institutional and heritage buildings, health care, public transportation and infrastructure, and energy transmission and distribution.  

We offer a flexible hybrid work model, enabling you to work from home AND our Calgary or Vancouver offices.โ€ฏ 

Jobโ€ฏResponsibilities 

  • Receive, review, process, and maintain project correspondence, records, and deliverables, including indexing, classification, filing, and retrieval 
  • Coordinate the receipt, transmission, tracking, classification, and retention of all project documentation 
  • Facilitate the integration and exchange of information among project stakeholders to support successful project delivery 
  • Distributes information among project team members and ensure compliance with organizational information security requirements and client standards 
  • Maintain document control registers, transmittal logs, and project tracking systems 
  • Prepare and distribute document control and project management reports 
  • Provide recommendations based on client business needs and supports clients in identifying optimal documentation management solutions 
  • Serve as a subject matter expert in Enterprise Content Management (ECM) and Electronic Document Management Systems (EDMS) 
  • Support the development, implementation, and continuous improvement of document management procedures for major projects and Project Management Offices (PMOs) 
  • Contribute to business development initiatives and the growth of the Documentation Management services 
Qualifications
  • Post-secondary education in information management, business administration, project management, or a related field (equivalent combinations of education and experience will be considered) 
  • Minimum 7 years of document control experience supporting complex projects across multiple industries or disciplines 
  • Experience in business analysis, including requirements gathering, recommendation development, and client support 
  • Strong data management and analytical skills, with proficiency in a variety of software applications 
  • Working knowledge of project management principles and practices 
  • Familiarity with emerging technologies in both document management and project delivery 
  • Experience working in fully digital or paperless environments 
  • Knowledge of collaborative platforms associated with BIM processes 
  • Proficiency with one or more ECM/EDMS solutions such as SharePoint, Autodesk Construction Cloud (ACC), Aconex, ProjectWise, or similar platforms 
  • Strong interpersonal and teamwork skills, with the ability to build professional networks 
  • Excellent organizational skills, attention to detail, and the ability to work independently in a fast-paced environment
