This position is located in Tallahassee, FL.

Position Overview and Responsibilities:

This position reports to the Property Logistics Administrator and is a highly responsible technical and administrative position responsible for reservations, assisting with records management, planning, and development of policies and initiatives. The incumbent in this position works with minimum supervision and serves as the primary point of contact for the reservations process.

The incumbent in this position will follow procedures for directing applicants to the DMS website to reserve state space within DMS facilities. They will review reservation requests for compliance with applicable statutes and rules. Coordinate with the Office of General Counsel, Capitol Police, and Senior Management to implement guidelines and checklists. Reserve state grounds as available. Update calendar of events. Coordinate with Facilities Manager all events and assist building staff as needed. Prepares 22nd floor invoices (when applicable) and coordinates refunds with DMS Finance and Accounting (when applicable). Ensure reconciliation and documentation are complete and accurate. Assists with development, implementation, tracking and documentation of processes and process improvements within Property Services, including documenting procedures, best practices, forms, checklists and other tools and resources. Assists in the compilations, editing and tracking of Leasing reports. Assists with REDM's records management. This includes reviewing requests for records, maintaining control of records retention schedules, and following policy and procedures in storing or disposing of records. Performs other duties as assigned. This position will be assigned a state cell phone for business purposes only. During Legislative session, the incumbent may be required to work an alternate work schedule.

Minimum Qualifications:

Bachelor's degree from an accredited college or university and two years related, professional experience. Experience in conference sales, event planning, public relations, or general services can substitute, on a year-for-year basis, for the required college education.
This position requires prolonged periods of time walking, standing, sedentary work and repetitive motion and ability to drive and/or fly for long distances.

Adheres to safety awareness policies in the workplace, views safety videos when presented and attends required safety meetings.  Practices lessons learned on a daily basis to avoid accidents.
