Executive Assistant, Disney Theatrical Group

Disney Theatrical Group is seeking a highly organized individual to work as an Executive Assistant. This individual will ensure professional, flexible, and efficient office operations to help maximize the value of the executive's work time, as well as the time of the many staff members and external partners working with them. The ideal candidate should have a positive attitude with the ability to be proactive, resourceful and flexible. This individual must ensure an adaptable and friendly office environment, manage the constant flow of information across multiple projects, and proactively coordinate the demanding work hours and meeting schedule of the VP.

Responsibilities:
  • Provide administrative support to the Vice President, Content and Talent Development. This role may support up to two executives.
  • Calendar Management: Facilitate meetings including communicating participants with time, location, attendees, and agenda. Set up conference calls and operate the videoconferencing system when necessary. Regularly review daily/weekly/monthly calendar and travel plans and anticipate information on materials required in advance.
  • Executive Travel: Coordinate domestic and international travel. Provide executives with complete and accurate itineraries with directions.
  • Phone Coverage: Answer phone calls promptly and cordially. When executives are not immediately available, actively solidify a time to return and ensure complete follow-up.
  • Expense Reporting: Reconcile corporate card payments promptly, and prepare expense reports for Finance Department.
  • Departmental Office Management: Coordinate storage/facility needs, ordering supplies, business cards, stationery, etc.
  • Serve as a liaison between other departments, including the Executive Office and International DTG Offices.
  • Arrange weekly department meetings.
  • Assist in coordination of events.
  • Welcome and host guests/visitors as required including, on rare occasion, greeting guests/visitors at DTG's productions on nights and/or weekends.
  • Provide project support as required, at times including off-site support.
Basic Qualifications:
  • 2+ years executive-level administrative support experience
  • Well-versed in all areas of Microsoft Office, including Outlook, Word, Excel
  • Advanced proficiency with Apple products (Mac, iPad, iPhone).
  • Expert-level PowerPoint and Keynote skills are an absolute must.
  • Knowledge of how to operate audio/visual videoconferencing equipment.
  • Proven organizational skill, with attention to detail and follow-through.
  • Strong verbal, written and interpersonal communication skills.
  • Experience and success working effectively with a wide range of strong personalities.
  • Comfortable prioritizing multiple tasks and maintaining a professional demeanor in a fast-paced environment.
  • Flexibility to work overtime, when required.
  • Responsibilities may include errands and occasional heavy lifting (up to 40 lbs.)
  • Must be available to work onsite 4 days per week (Monday-Thursday). Fridays are remote with flexibility to work onsite as needed. Flexibility required to work outside of standard business hours.

The hiring range for this position in New York, NY is $68,400 to $91,700 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate's geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
