Job Overview

The Event Manager serves as the primary point of contact for vendors, promoters, producers, and internal teams, overseeing event logistics and execution from planning through breakdown. This role ensures seamless coordination for a wide range of events - from community festivals and concerts to large-scale productions such as Great Park Live Concerts, Orange County Soccer Club, and Winter Fest OC.

The position supports staffing logistics, vendor compliance, operational and event planning, and on-site management to deliver exceptional event experiences.

Essential job functions:

  • Lead advance planning meetings, client walkthroughs, and production advances, confirm scope, timelines, staffing plans, and day of event escalation paths.
  • Own and maintain the complete event record in Momentus, ensuring all event details, notes, schedules, vendor lists, account information, required documents, executed plans, permits, COIs, incident reports, and postevent recaps are accurately stored and kept up to date within the system.
  • Develop and publish event day documents, including run of show, staffing plan, post orders, radio plan, break plan, and check in plans.
  • Coordinate with Production, Marketing, Food and Beverage, Safety, and Security leads to confirm daily operational requirements, and resolve conflicts prior to event day.
  • Serve as Manager on Duty during assigned events, make real time decisions to protect guest experience, safety, schedule, and venue assets.
  • Direct part time event staff on event day, including guest experience, parking, housekeeping, and assigned support teams, and confirm staff placement and breaks.
  • Coordinate vendor and talent arrivals, credentialing, check in, and backstage or compound operations, and confirm curfew compliance with the promoter and producer.
  • Maintain strong working relationships with clients, promoters, producers, tenants, contractors, public safety officials, subcontractors, and internal stakeholders.
  • Manage vendor compliance items, including COIs, required permits, and vendor documentation, and track status through completion.
  • Support staffing partner coordination, including schedule confirmations, invoice review, and timesheet reconciliation.
  • Track and manage event equipment, including radios, chargers, and check out logs, and reconcile missing items after events.
  • Prepare post event reports within two business days, document wins, issues, incidents, and corrective actions, and assign follow ups to the right owners.
  • Support staff orientations and briefings for events, including safety notes, time keeping requirements, radio etiquette, site rules, and guest service standards.
  • Perform other duties as assigned.

Minimum Qualifications

  • Bachelor's degree in Event Management, Business Administration, Hospitality, Sports Management, Project Management, or related field preferred.
  • 3-5 years of experience in event management within stadiums, arenas, public assembly facilities, or hospitality/tourism environments.
  • Strong organizational skills with the ability to manage multiple events and deadlines.
  • Excellent communication skills with the ability to collaborate across departments and stakeholders.
  • Proficiency in Microsoft 365, Teams, Outlook, Excel, SharePoint, Canva, Asana, and DocuSign.
  • Proficiency in Momentus or similar event & venue management software.
  • Experience with vendor coordination and contract management.
  • Ability to work flexible hours, including evenings, weekends, and holidays.
  • Experience in budget oversight, logistics coordination, and on-site event management preferred.
