Job Purpose
The Private Event Sales Coordinator supports the planning, promotion, and execution of private events at your home course. Working under the direction of the Director of Events, this role partners closely with clients to understand their needs and ensure every event is delivered with excellence.
Responsibilities
  • Warmly acknowledge, greet, and thank all members and guests.
  • Manage administrative tasks including drafting, revising, and distributing event agreements and banquet event orders (BEOs), as well as processing deposits and payments.
  • Support marketing and sales efforts by maintaining the contact database, responding to leads, scheduling site tours, and assisting with outreach.
  • Coordinate event logistics by communicating with internal departments to ensure course and facility readiness.
  • Maintain high customer service standards during events by monitoring food and beverage operations and offering assistance when needed.
  • Build strong relationships with event hosts by addressing questions, resolving concerns, attending events, and ensuring guest satisfaction.
  • Escalate any grievances to the Director of Event Sales or Event Manager as appropriate.
  • Support all American Golf initiatives and programs as directed by management.
  • Perform additional duties as assigned.
Qualifications
  • Previous administrative and/or sales experience preferred.
  • Strong customer service orientation with a commitment to guest satisfaction.
  • Proficiency in Microsoft Word and Excel.
  • Basic math skills for calculating figures and percentages.
  • Social media literacy, including familiarity with Instagram, TikTok, and Facebook
  • Effective communication skills with clients, colleagues, and management.
  • Strong organizational, time management, and prioritization abilities; able to work independently with minimal supervision.
  • High school diploma required; associate degree preferred.
Working Conditions
  • Schedule varies based on business needs.
  • Evening, weekend, and holiday availability required.
  • Role may involve extended periods of standing and physical activity including walking, reaching, bending, kneeling, and lifting or pulling items as needed.
