Job description

As a Design Coordinator at Bear, you play a critical role in ensuring our event designs are accurate, complete, and fully prepared for execution. This position supports our Event Designers by owning the refinement, coordination, and final preparation of proposals—bridging the gap between design vision and production reality.
You will work across the full pipeline of events, supporting 20–40 active events per month, ensuring that every proposal is thoroughly vetted, clearly communicated, and ready for a seamless handoff to our logistics and production teams.
This role requires a strong attention to detail, an understanding of design environments, and the ability to manage a high volume of moving pieces. While you will contribute to smaller proposals and client requested edits, your primary responsibility is to take full ownership of proposal readiness, ensuring designs are cohesive and fully audited before handing it over to production. 
You will report to the Lead Event Designer and work closely with Event Designers, Production Leads, Warehouse, and Creative teams.
Your responsibilities:
•    Serve as the final quality control checkpoint for all proposals, ensuring they are cohesive, accurate, and fully prepared for execution, identifying and resolving missing elements, inconsistencies, or risks prior to handoff
•    Ensure all elements of the proposal are aligned with our inventory, place any orders for products or subrentals, and work with creative teams to ensure all requirements are shared
•    Communicate directly with clients to manage updates, maintaining accuracy across proposals, design boards, and supporting materials
•    Build and manage proposals your own proposals for simple rental orders and smaller events, applying our standards for pricing, logistics, and required cost elements
•    Build a deep understanding of Bear’s inventory, capabilities, installation methods, and production constraints to ensure all design decisions align with our ability to support client requirements
•    Coordinate subrentals and external orders required for event execution
•    Track, organize, and support reporting on active projects, including weekly and quarterly data needs
•    Support the Lead Event Designer and design team with coordination, scheduling, and administrative needs related to business development or other outbound marketing efforts
•    Provide thoughtful input on inventory development, purchasing decisions, and creative builds for our inventory
•    Represent Bear with excitement and positivity at industry and networking events in a fun, professional manner

Requirements:
•    2+ years’ experience working in design-driven environments (events, interiors, experiential, or similar) or design-related coordination role

•    Working knowledge of Adobe Creative Suite (Illustrator, InDesign, Photoshop) preferred
•    Ability to work independently while managing multiple projects, timelines, and priorities
•    Excellent written and verbal communication skills
•    Understanding of the event production process and how design translates to execution
•    Ability to interact with clients professionally and confidently
•    Valid driver’s license and reliable transportation
