Job description

The Dental Insurance Coordinator is responsible for managing all aspects of dental insurance processing, verification, claims submission, and patient account support. This role ensures accurate billing, maximizes insurance reimbursement, and provides clear financial communication to patients to support a positive practice experience.

KEY RESPONISIBILITIES

Insurance Verification & Benefits

  • Verify patient insurance eligibility and benefits prior to appointments.
  • Accurately document coverage details, frequencies, limitations, and waiting periods.
  • Communicate estimated patient portions to front desk and/or patients

Claims Processing

  • Submit electronic and paper claims daily.
  • Ensure claims are complete, accurate, and include required documentation.
  • Monitor claim status and follow up on outstanding claims.
  • Post insurance payments and adjustments accurately

Accounts Receivable & Follow-up

  • Work aging reports and resolve unpaid claims.
  • Appeal denied or underpaid claims.
  • Communicate with insurance representatives to resolve discrepancies.
  • Maintain insurance aging within practice goals.

Patient Financial Communication

  • Explain insurance benefits and financial responsibilities to patients.
  • Assist patients with payment arrangements when necessary.
  • Answer insurance and billing questions in a professional, friendly manner.

Compliance & Accuracy

  • Maintain HIPAA compliance.
  • Ensure accurate chart documentation.
  • Stay updated on insurance policies, coding changes, and industry regulations.

QUALIFICATIONS

  • Dental office experience preferred
  • Knowledge of dental terminology strongly preferred

SKILLS

  • Strong understanding of dental insurance plans (PPO, HMO, MEDICAID, ETC.)
  • Proficiency with dental practice management software. (Dentrix, Cherry, Vyne)
  • Excellent attention to detail.
  • Strong communication and customer service skills
  • Ability to multitask in a fast-paced environment.
