The Role:

The Operations Associate is the backbone of our front office and student information systems. This role ensures operational excellence across attendance, enrollment, records management, family communication, and campus logistics. The Operations Associate works closely with the Dean of Operations and the administrative team to maintain compliance, safety, and efficiency.

This position requires professionalism, discretion, strong communication skills, and the ability to manage multiple priorities in a fast-paced school environment.

Qualifications:

Education: Associateโ€™s Degree required (Bachelorโ€™s Degree preferred)

Experience: 0โ€“3 years of previous administrative, office management, or school-based experience preferred

Technical Skills: Proficiency in Microsoft Office and Google Workspace

Comfort with Student Information Systems (SIS) and data entry

Physical Requirements: Ability to sit, stand, walk stairs, and move throughout the building regularly

Expectations:

We hold high expectations for our Operations Associate. Responsibilities include, but are not limited to:

Front Office Leadership:

Maintain a neat, organized, and welcoming office environment

Greet and sign in visitors while monitoring the visitor management system

Serve as gatekeeper to minimize unnecessary disruptions to instructional time

Answer phones, manage transportation updates, check in tardy students, and facilitate early check-outs

Receive and distribute mail and shipments

Attendance & Compliance:

Reconcile daily attendance using the schoolโ€™s Student Information System

Update tardy, early check-out, and excuse note records daily

Make personalized absence calls to families

Partner with the Dean of Operations on excessive absence interventions

Student Information & Records:

Maintain cumulative student records with confidentiality and accuracy

Process records requests for transfer students

File all required documentation (report cards, excuse notes, etc.)

Generate accurate attendance, disciplinary, and honor roll reports

Enrollment Support:

Assist with new student enrollment and registration (in person, phone, and email)

Update systems to ensure accurate onboarding of new scholars

Support enrollment events and family communication efforts

Supplies & Campus Operations:

Maintain systems for inventory and supply ordering

Coordinate office, printer, and copier servicing

Ensure teachers and staff have the necessary supplies

Develop clear package distribution and notification systems

Health & Safety:

Monitor and maintain campus security procedures

Administer student medication as required by policy

Support compliance with school health and safety regulations

General Administrative Support:

Assist with campus preparation for the start of each school year

Support coordination of school events, assessments, field trips, and communication distribution

Provide operational support to ensure instructional time is protected
