Description
The Investment Operations Associate supports the firm’s investment platform infrastructure, portfolio management workflows, and advisor support processes within the Operations department. This role independently executes established workflows across WealthSelect and SMArtX account setup, trade monitoring, alternative investments processing, and data integrity, exercising working knowledge of platform requirements to resolve routine issues without close supervision.

This position coordinates with Transitions, Operations, Compliance, Investments, and Technology teams to support platform adoption and a consistent advisor experience. The Associate handles day-to-day custodian and advisor communications independently, escalating complex, high-risk, or precedent-setting issues to senior team members.

Responsibilities
  • Independently process the setup and configuration of WealthSelect accounts, ensuring operational and custodial requirements are met.
  • Manage SMArtX account onboarding, including G-number creation, Schwab FA master creation, target creation, client assignments, and rebalancer program setup for qualified and non-qualified accounts.
  • Monitor SMArtX and Black Diamond trading systems to identify and resolve failed or stale trades, escalating complex cases to relevant team members.
  • Serve as a day-to-day point of contact for routine custodian inquiries (Fidelity, Schwab, Goldman), escalating complex or high-risk items to senior team members.
  • Coordinate Tax Transition processing with internal investment team members to support seamless client transitions.
  • Use YCharts to prepare investment proposals supporting advisor recommendations and portfolio decisions.
  • Manage the Quarterly Share Class Conversion process across custodial platforms.
  • Coordinate SMA and CUSIP reviews with Transitions and Advisors during new manager onboarding within SMArtX.
  • Maintain investment data records and prepare reporting for leadership and advisor teams.
  • Process alternative investment transactions, including capital calls, subscriptions, and position setup across CAIS, iCapital, and Proteus.
  • Identify and resolve capital call fulfillment issues and account readiness gaps, escalating complex cases as needed.
  • Coordinate alternative position transfers with funds, custodians, and advisor teams during transitions.
  • Provide day-to-day advisor support during onboarding to WealthSelect, SMArtX, and related investment platforms.
  • Support and help facilitate Rebalancer and Black Diamond training sessions to drive advisor proficiency.
  • Support Black Diamond Model Marketplace (ALPs) administration, including routine model updates and advisor communications.
  • Support trade execution and correction processes, ensuring accuracy and compliance with internal and regulatory standards.
  • Process account opening, money movement, and NIGO resolution requests.
  • Coordinate RAFA onboarding activities in support of senior team members.
  • Perform other related duties and responsibilities as reasonably assigned.

Qualifications
  • Bachelor's degree in Finance, Business Administration, or related field preferred.
  • 2+ years of experience in RIA or broker-dealer operations, trading platform support, or portfolio operations.
  • Working knowledge of SMArtX, Black Diamond, and major custodians (e.g. Schwab, Fidelity, Goldman).
  • Solid understanding of alternative investments, trading workflows, and custodial platforms.
  • Proficiency in Microsoft Office, Practifi, A360, and workflow management tools (Moxo, Basecamp) preferred.
  • Strong attention to detail, communication skills, and a service-oriented mindset.
