The Role We Want You For
The Civic and Social Impact Coordinator will play a crucial role in supporting the Clayco Enterprise and Foundation's philanthropic giving and fundraising efforts. This position is responsible for providing administrative support focusing on database management and grantee communication. The Coordinator will update and maintain the grants management system, communicate with requestors and awardees, enter new gifts and awards applicants into the system, keep recipients' paperwork up to date, and assist with facilitating payments and tracking of donor commitments.The successful candidate will work closely with the Executive Director and other team members to oversee charitable giving and secure funding for the Enterprise and Foundation's key initiatives, ensuring the sustainability and growth of the initiatives.
The Specifics of the Role
Grant Database Management and Reporting:
  • Enter and maintain data in the Clayco's grants and giving management system (CyberGrants) to ensure the database is up-to-date and accurate, including recipient contact information, recent interactions, history, and notes;
  • Process and track payment requests, invoices, and disbursements, coordinating with accounting for verification;
  • Troubleshoot issues pertaining to the gift/grant application portal;
  • Provide technical support to staff and recipients related to the gift/grants management system;
  • Process and track unsolicited requests and help manage Clayco's response to general inquiries for funding
  • Respond to letters, e-mails, and telephone calls requesting general information about gifts/grants and/or the status of an inquiry;
  • Assist with generating regular reports and analysis of giving patterns and fundraising trends in a timely manner;
  • Maintain an organized and up-to-date gift/grants calendar, tracking deadlines, and deliverables.

Event and Community Engagement Support:
  • Assist in the planning, organization, and execution of internal fundraising events
    • Aid in coordinating logistics, manage guest lists, track donations and, and provide support during the events.
  • Plan volunteer activities for office staff periodically throughout the year with partner organizations.
  • Other duties as assigned

Requirements
  • Bachelor's degree (e.g., Nonprofit Management, Business Administration, etc.) or equivalent experience;
  • 2-3 years of experience in, grantmaking and/or nonprofit administrative or development work;
  • Highly organized, detail-oriented, and able to manage multiple projects simultaneously;
  • A team player with strong communication skills and a positive attitude;
  • Ability to track and consistently meet deadlines;
  • Excellent written and verbal communication skills, with the ability to write compelling reports and donor communications;
  • Demonstrated ability to work independently and collaboratively in a team-oriented environment;
  • The ability to maintain confidentiality;
  • Proficiency with Microsoft Office;
  • Familiarity with CyberGrants or other grants management systems is preferred, but not required.

Compensation
  • The salary range for this position considers a wide range of factors in making compensation decisions including but not limited to: Education, qualifications, skills, training, experience, certifications, internal equity, and location. It is not typical for an individual to be hired at or near the top of the range for the role and compensation decisions are dependent on the facts and circumstances of each case. The Clayco Nationwide salary range for this position is approximately $72,000 +/- annually (not adjusted for location).
