Position Overview - Eclipse Private Wealth Management is seeking a Client Service & Operations Associate to serve as a critical support pillar across client service, operational execution, and marketing coordination. This individual will work closely with the advisory team and senior client service professionals to ensure smooth execution of day-to-day client servicing needs, operational workflows, and firm-wide communication efforts. The role blends administrative precision, client experience, and light marketing coordination into one highly impactful position.


Responsibilities


You will support end-to-end operations that impact client service and firm efficiency, including but not limited to:


Client Service & Operational Support

  • Answer and triage incoming client calls and inquiries with professionalism and urgency 
  • Schedule client meetings, internal reviews, and wholesaler meetings 
  • Support daily client service workflows and task tracking (including Jira or equivalent systems) 
  • Maintain and organize client records, documentation, and books & records 
  • Support onboarding workflows, account maintenance, and service requests 
  • Coordinate with custodians and internal teams to resolve service issues 

Money Movement & Administrative Execution

  • Process and track wires, ACHs, checks, and deposits (per firm policy and approvals) 
  • Maintain accurate check logs and transaction records 
  • Support account opening, transfers, and maintenance paperwork 
  • Ensure accuracy and completeness of all client service documentation 

Marketing & Client Communications Support

  • Serve as liaison with external marketing partners 
  • Support execution of: 
    • Client email communications and newsletters 
    • Social media scheduling and content posting 
    • Website updates and content maintenance 
  • Maintain a consistent marketing calendar and communication cadence 
  • Assist in light content customization and coordination across platforms 

Client Experience & Relationship Coordination

  • Coordinate client "good & welfare" outreach (birthdays, life events, condolences, milestones) 
  • Support a high-touch client experience through proactive communication follow-up 
  • Help ensure timely and consistent client servicing across the team 

Operational & Office Support

  • Assist with client technology troubleshooting 
  • Manage FedEx and outgoing mail coordination 
  • Support building-related issues and vendor coordination as needed 
  • Oversee administrative workflows and internal task queues

Requirements

What We're Looking For

  • 2-5+ years of experience in wealth management, financial services, RIA operations, or client service 
  • Strong understanding of financial services (accounts, investments, basic market knowledge) 
  • Familiarity with custodial platforms (Pershing, Schwab, etc.) 
  • CRM experience (Wealthbox, Salesforce, or similar preferred) 
  • Strong communication skills, both written and verbal 
  • Highly organized, detail-oriented, and able to manage multiple priorities simultaneously 
  • Proactive, self-directed, and comfortable in a fast-paced, small-team environment 
  • Must be client-service oriented with strong emotional intelligence and professionalism
  • Preference for Series 7 and 66/65 or willingness to obtain.
