Job Summary

Theย People & Culture Assistant provides administrative, clerical, and operational support to theย HRย Department. This positionย is responsible forย maintainingย employee records, supporting HRIS data management, coordinating scheduling activities,ย assistingย with onboarding administration, supporting trainingย logistics, and ensuring efficient day-to-day departmental operations.ย  Theย HRย Assistant serves as a key support resource for employees and theย HRย team by delivering responsive customer service,ย maintainingย accurateย records, andย assistingย with workforce administration activities in a confidential and professional manner. This position supports the organization's mission, values, and commitment to service excellence.ย 


Essential Functions

Administrative Supportย 

  • Provide administrative and clerical support to theย HRย Department.ย 
  • Answer and route incoming department calls and inquiries.ย 
  • Respond to routine requests inย a timelyย and professional manner.ย 
  • Assistย with preparation of correspondence, forms, reports, and presentations.ย 
  • Support departmental projects andย initiatives asย assigned.ย 

Records Management & Filingย 

  • Maintain employee personnel files and departmental records.ย 
  • File and organize electronic and hard-copy documentation.ย 
  • Assistย with document retention and records management procedures.ย 
  • Ensure employee records areย accurate, complete, and properlyย maintained.ย 
  • Support preparation of documents for audits and compliance reviews.ย 

HRIS & Data Entryย 

  • Perform data entry into the Human Resources Information System (HRIS).ย 
  • Assistย with employee demographic updates and employment changes.ย 
  • Maintain data accuracy within HR systems and tracking logs.ย 
  • Run standard reports and provide administrative reporting support.ย 
  • Assistย withย maintainingย workforce databases and spreadsheets.ย 

Employment & Workforce Administrationย 

  • Process employment verification requests.ย 
  • Assistย with onboarding paperwork preparation and filing.ย 
  • Prepare orientation packets and employee documents.ย 
  • Support recruitment administrativeย activities asย assigned.ย 
  • Assistย with tracking required employee documentation.ย 

Scheduling & Training Supportย 

  • Assistย with trainingย logistics, sign-in sheets, materials, and room setup.ย 
  • Maintain training records and attendance documentation.ย 

Department Operationsย 

  • Order andย maintainย departmental supplies.ย 
  • Monitor inventory of office and onboarding materials.ย 
  • Assistย with preparation for employee engagement activities and events.ย 
  • Support workforce communications and distribution of materials.ย 
  • Perform other duties as assigned.ย 

Schedule

  • Monday-Friday 8:00 a.m. - 5:00 p.m.ย with potential extended hours as needed.
  • This is an onsite position.

Education & Experience

  • High School Diploma or GED required; Associate or Bachelorโ€™s degree in Human Resources or a related field; minimum of one yearโ€™s experience in Human Resources, preferably in a healthcare setting, or any equivalent combination of education, training, and experience which provides the required knowledge and abilities
  • Human Resources, healthcare, community health center, or nonprofit experience preferred.
  • Equivalent combinations of education, training, and experience may be considered.
