ESSENTIAL DUTIES, FUNCTIONS AND RESPONSIBILITIES:
  • Makes travel arrangements for the Traditional Healer Supervisor and Traditional Healer/Counselor staff. Prepares and submits travel vouchers including accurate computation of all costs of reimbursable expenses. Coordinates travel, types itinerary, etc. Keeps abreast of changes to policy for immediate implementation to prevent delay in completion of requests or to prevent errors in reimbursement.
  • Handles scheduling of outpatient and inpatient Traditional Intervention for TCS staff.
  • Maintains records for managing and keeping inventory of assets and supplies for TCS. Ensures timely and accurate status of resources or inventory, charging the correct accounting codes, verifying all object class codes, and identifying and justifying purchases/services. Compares request for funds with account balances to assure that funds are available to cover transactions.
  • Handles calls from both internal and external sources in an efficient, timely, accurate and complete fashion. Screens calls, receives visitors with referrals to appropriate staff member and forwards only those calls or visitors requiring attention. Responds to inquiries for general information; completes copier projects; mail handling, and supply control.
  • Provides call backs and reminder calls for patients who have scheduled Traditional Intervention with TCS.
  • Type correspondence, to include word processing/typing letters, memos, forms, policies, and procedures (includes handling of confidential information). Documents and correspondences completed in a timely and accurate manner with information shared as appropriate.
  • Reads all incoming correspondence, determining proper action, at times prepares answers before referring to the Supervisor of TCS and Traditional Healer/Counselors.
  • Reviews outgoing correspondence and reports prepared by the Supervisor of TCS, Traditional Healer/Counselors, ensuring proper format, mathematical correctness, correct grammatical content, and ascertaining that all necessary coordination of facts has been completed and is in accordance with established policy.
  • Maintains FDIHB, Inc. meeting attendance files and generates reports; vendor, contract files, maintenance agreement files and all copyright files. The maintenance of files are expected to be accurate and completed in a timely manner; the files are to be secured at all times to protect confidential information.
  • Works independently or within a team on special (i.e. quality process improvement), nonrecurring, or ongoing projects. It is expected participation in the projects are completed in an efficient and timely manner.
  • Coordinates and plans for conferences, meetings and workshops. Coordinates
    information and prepares folders of material to be discussed and transcribes minutes.
  • Acts as the project manager for special projects, at the request of the TCS Supervisor, which may include planning and coordinating presentations, disseminating information, and organizing TCS events. It is expected that special projects are conducted in a timely, accurate, and effective manner.
  • Performs other duties as assigned.

MANDATORY MINIMUM QUALIFICATIONS:
Experience:
Two (2) years of direct work experience in an office administrative environment.
Education:
Associate's Degree in Business Administration or related field.
