Job Description

The Project Coordinator supports the planning, execution, and delivery of creative projects across the organization, reporting to the Manager, Creative Project Planning. As part of the Creative Operations team, this role contributes to real-time graphics, production workflows, set design and installation, and cross-platform execution. The team operates at the center of creative and production, partnering with scheduling, production, and technical teams to ensure work is planned, tracked, and delivered efficiently.
 This role plays a critical part in managing the details of project line items, maintaining clear communication with task owners, and ensuring projects stay on track. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, cross-functional environment.
Key Responsibilities

  • Assist in planning and coordinating creative project activities from initiation through completion
  • Develop and maintain detailed project schedules, timelines, and task trackers
  • Manage project line items, ensuring tasks are clearly defined, assigned, and tracked to completion
  • Communicate regularly with task owners to monitor progress, provide updates, and ensure accountability
  • Monitor project progress and ensure milestones and deliverables are met, proactively flag risks or delays as needed
  • Schedule and organize meetings, including preparing agendas, capturing meeting notes, and tracking follow-up actions
  • Support quality assurance efforts and assist with performance tracking across projects
  • Provide administrative and operational support to the project management and planning team
  • Maintain accurate project documentation and ensure information is current across planning tools and systems
  • Collaborate across departments and with external vendors to ensure alignment on priorities, timelines, and deliverables
Qualifications
  • 1 to 3 plus years of experience in project coordination, administration, or a related role
  • Strong organizational and time management skills with the ability to manage multiple tasks simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in project management tools such as Asana, Trello, Jira, Monday.com, or MS Project
  • Ability to work collaboratively within a team and across departments
  • Ability to adapt quickly to changing priorities and evolving project requirements
