Job description

The Creative Project Coordinator is responsible for coordinating the workflow of the in-house creative team, ensuring projects move efficiently from concept through final delivery. This role partners closely with designers, copywriters, marketers, and cross-functional stakeholders to facilitate communication, prioritize work, and maintain project timelines.
Responsibilities: Champion creative excellence while balancing timelines, priorities, and business needs.
Project Coordination & Workflow Management
  • Coordinate multiple creative projects simultaneously, including print, digital, packaging, video, social media, and marketing campaigns.
  • Develop and maintain project timelines, schedules and task assignments.
  • Monitor project progress and proactively identify risks, bottlenecks, or delays.
  • Understand all brand & creative guidelines to help understand projects and question them before assigning to team members.
  • Ensure all deliverables meet deadlines, brand standards, and stakeholder expectations.

Communication & Collaboration
  • Serve as the liaison between creative teams, marketing, and external vendors.
  • Collaborate during concept development, providing input that supports creative problem-solving and effective execution.
  • Schedule and facilitate project meetings, kickoff sessions, and status updates.
  • Maintain clear and organized communication across all project stakeholders.
  • Monitor assets for timeliness as they flow through our proofing system, Manage Artworks.
  • Foster collaboration between creative, marketing, product, and leadership teams to ensure alignment on project goals.
  • Identify bottlenecks, escalate potential issues before they threaten the success of the project.
  • Identify opportunities to improve creative workflows and project efficiencies.

Creative Operations Support
  • Manage creative requests and prioritize workloads based on business needs.
  • Support process improvements to increase team efficiency and workflow consistency.

Vendor & Production Coordination
  • Coordinate with printers and production vendors as needed.
  • Track project invoices, estimates, and production costs when applicable.
  • Ensure deliverables are prepared correctly for production or publication i.e. file types are correct.

Qualifications:
Education & Experience
  • Bachelor's degree in Marketing, Communications, Business, or a related field required.
  • 2-4 years of direct, hands-on project coordination/management experience within a creative, marketing, agency, e-commerce, or production environment.
  • Demonstrated experience managing cross-functional projects from initiation through completion.

Skills & Competencies
  • Strong project coordination, organization, and multitasking skills.
  • Familiarity with print production processes, creative specifications, and print vendor quoting is strongly desired. Candidates should have a basic understanding of print production, production timelines, and common printing methods.
  • Excellent stakeholder management and communication abilities.
  • Proven ability to manage multiple complex projects and shifting priorities simultaneously under pressure.
  • Strong problem-solving, decision-making, and risk management skills.
  • Ability to influence and collaborate effectively across all departments and organizational levels.
  • Understanding of creative development, production, and marketing workflows.

Technical Skills
  • Proficiency with project management platforms, such as Monday.com, is required.
  • Experience with workflow management, proofing, and digital asset management systems is required.
  • Familiarity with Adobe Creative Suite and creative production processes is preferred.
  • Strong Microsoft Office and/or Google Workspace skills.
