    • Engage Intent teams to build and maintain mechanisms to provide line of sight into upcoming intakes and track associated deliverables when the intakes become projects.

    • Manage the prioritization of projects across pods:

      • Support the prioritization of work for each pod via Workfront and by participating in sprint-planning meetings.

      • Communicate priorities, sprint assignments and timelines to Intent teams following sprint-planning meetings.

    • Assign projects to Creative Solutions teammates in Workfront, in partnership with pod leads.

    • Build and maintain pod visual management boards and intake forms to receive and manage work.

  • Manage the flow of work across pods:

    • Monitor project status and communicate timely, relevant updates which sufficiently keep Intent teams, Creative Solutions teammates and other stakeholders up to date as projects progress, leveraging tools such as Workfront, Slack and email.

    • Develop working models that create clear communication with Creative Solutions teammates on changes to project scopes or timeline extensions that come up.

    • Identify and mitigate risk with respect to our workflow.

  • Participate in pod ceremonies that support the ongoing management of work, including:

    • Huddles, where project status is reviewed and any escalations are discussed.

    • Office hours, where the Creative Solutions team is briefed on new projects.

    • Check-ins, where work in progress is shared and feedback is gathered.

  • Document follow-ups from pod ceremonies and circle back with Intent teams and other stakeholders to gather the necessary information, then share it with impacted Creative Solutions teammates so that work can move forward.

  • Help ensure work is delivered on time and meets the needs of downstream teams.

  • Monitor performance by building and delivering relevant reporting for pod leads and Creative Solutions teammates (e.g., projects delivered, project cycle times and other performance indicators as defined by the Creative Solutions Process team, with input from the Project Manager, Creative Solutions).

  • Support Workfront as a Group Administrator for Canada, including training Creative Solutions teammates and other stakeholders and implementing improvements in how we use the tool.

  • Perform quality assurance on our existing process, while Identifying, defining and implementing process improvement initiatives and new tools/capabilities, in partnership with Creative Solutions Process Managers and leaders.

  • Drive efficiencies in the way we work to create better experiences for both internal stakeholders and Creative Solutions teammates.

  • Consider and communicate potential impacts to upstream/downstream teams as a result of changes in the way we work.

  • Invest in documentation, including the creation of how-to guides and other training materials to drive consistency and knowledge-sharing across the team.

  • Maintain a strong network of internal contacts and leverage that network to navigate the organization and get things done.

  • Support the team's vendor relationships in areas such as data sharing, purchase orders and contract renewals.
