Job description

Beloit Health System is looking to add an ED Registration Clerk to our Team!
  • Location: Beloit Memorial Hospital Emergency Department - Beloit, WI
  • Shift: 1st
  • Schedule: 6:30 am - 3:00 pm
  • Hours per week: 40
  • Benefits Status: Eligible

This position is responsible for accurately capturing and maintaining patient problem, procedures, demographics, employment, emergency contact, guarantor and insurance information for patients admitted to the Emergency Department and for inpatient and outpatient services at Beloit Memorial Hospital. Individuals in this position establish hospital billing accounts to accurately charge for the services that are rendered. Interact with many internal and external guests and are responsible for creating a positive first impression of the Beloit Health System.
  • Responsible for arriving patients to Beloit Memorial Hospital Emergency Room.
  • Takes patient complaints and symptoms and lists them into the quick registration pathway for proper triage.
  • Gathers all necessary demographic and billing information from patients or family, then enters into billing system accurately.
  • Verify patient insurance inforrnation and update insurance information for patients presenting as walk-ins and arrival by Emergency Medical Services.
  • Complete registration, verification, notification, and collection of patient financial responsibility for Emergency Medical Service arrivals at patient's bedside.
  • Identify patients without health insurance and provide information on financial assistance program and have patient complete Patient Responsibility Waiver form.
  • Complete Medicare Secondary Payer (MSP) Questionnaire accurately for each Medicare patient registration.
  • Identify appropriate primary, secondary, and tertiary payers, verifying eligibility and obtaining emergency room benefits.
  • Notification and collection of all applicable co-pays and self-pay payment deposits for emergency services after EMTALA evaluation of patient condition has taken place, and prior discharge. Either at desk or patient bedside.
  • Helps coordinate placement of patients into the appropriate inpatient unit as requested by nursing unit and as appears on the Pending admit board.
  • Responsible for documenting in the patient account notes if a patient has out of network insurance and any attempt to transfer patient to an in-network facility that was denied. Obtains signature on patient responsibility waiver form.
  • Performs pre-admission or pre-service registration and/or check-in of patients for hospital surgical and ancillary services during non-covered hours (i.e. weekends, holiday and third shift hours). This includes, but not limited to registering patients for labs and/or x-ray's before and after hours and on weekends.
  • Obtains signatures for Important Message for Medicare (IMM) forms as required for admission and give patient a copy.
  • Correctly identifies patients utilizing department policy.
  • Generates patient arm band, face sheet, and patient labels.
  • Works closely with ER staff to facilitate patient care during periods of Cerner Downtime. Works with nursing staff to provide taxi vouchers and payment for taxi services for patients.
  • Responsible for maintaining an accurate cash drawer.
  • Responsible for balancing cash drawer at the beginning and end of each shift.
  • Attends to assigned work queues to resolve registration errors thus allowing patient bills to process in a timely manner.
  • Responds to all incoming correspondence and telephone inquiries.
  • Escorts patients/visitors to other areas as needed when coverage is available.
  • Solves practical problems, dealing with a variety of issues, and interprets a variety of instructions furnished in written or oral form.
  • Promotes positive interactions with medical and clinical staff, patients, and visitors. Provides patients with information regarding hospital policy and procedures, directing patients to appropriate nursing or ancillary units as necessary.
  • Demonstrates regular and reliable attendance to perform all essential duties withing the scope of position.
  • Performs all switchboard functions from 8:00 PM-7:00 AM Monday-Friday, and 4:00 PM- 7:00 AM Saturday, Sunday, and Holidays, and all other times as necessary.
  • Announces Alerts overhead and contacts each department as necessary.
  • Other duties as assigned.
Job Requirements
  • High School diploma or equivalent required.
  • Minimum of 3 years registration in an Emergency or Urgent Care setting.
  • Strong background in Medicare and Medicaid emergency services.
  • Strong background in medical terminology.
  • Experience in working directly with the public in a service industry is strongly preferred.
  • Strong computer skills (including MS Word and Excel).
  • Proficient typing skills.
  • Ability to maintain accuracy while working on multiple tasks in a fast-paced environment under low-to moderate supervision.
  • Excellent verbal and written communication skills, including professional telephone etiquette.
  • Ability to ensure confidentiality of sensitive information and maintain HIPAA compliance.
  • Dependable in both production and attendance.
  • Exceptional organization and time management skills
