LOCATION: New York, NY
THE ORGANIZATION: An International Law Firm with over 300 Attorneys
KEY RESPONSIBILITIES:
  • Provide high-level coordination and administrative support to the Administrative Support management team
  • Answer and respond to any issues or requests
  • Assist in the preparation of communications to Firm departments and new hire attorneys
  • Collaborate closely and provide support to the Attorney Recruiting department
  • Coordinate access for professional staff to various in-house tools
  • Maintain the Firm’s absence tracking system
  • Ensure compliance with New York City Shift Change Law
  • Run and format weekly and monthly reconciliation reports
  • Update and maintain reports documenting schedule changes
  • Maintain the training calendar for Administrative Support and Reception
  • Maintain and coordinate updates to the department SharePoint site
  • Assist with requests from the Pro Bono department
  • Assist with scheduling and calendar management
  • Coordinate with Conference Services for meeting and training requests
  • Assist with document management and records retention for administrative files
  • Assist with coordinating notary requests
REQUIREMENTS:
  • Bachelor’s degree required
  • 2+ years of related experience providing administrative support to a department or attorney; law firm experience preferred
  • Excellent customer service skills
  • Proficiency in Microsoft Office with the ability to learn new software and systems
  • Stellar attention to detail
  • Ability to handle sensitive information confidentially and with discretion
  • Ability to organize and prioritize work
