Assistant Controller Job Description Commercial Real Estate

About Rettner Realty

We are a private family office with a large portfolio of commercial real estate investments. We take a hands-on approach to asset management and property operations and are seeking an experienced Assistant Controller to support the financial management of our growing real estate portfolio.
Position Summary

The Assistant Controller will play a key role in the accounting and financial management of the real estate portfolio. Responsibilities include financial reporting, tenant billing and collections, budgeting and forecasting, CAM reconciliations, debt administration, tax coordination, and operational accounting support. This is a full-time, in-office position offering the opportunity to work directly with the controller and senior management.
Responsibilities

  • Assist in the preparation of monthly and annual financial statements.
  • Review general ledger activity, account reconciliations, and financial reporting packages.
Tenant Billing & Collections

  • Assist in tenant billing processes, including rent, CAM, tax, insurance, and other recoverable charges.
  • Monitor accounts receivable and actively manage collection efforts.
  • Coordinate with property management, leasing teams, and tenants to resolve billing disputes and delinquent accounts.
  • Prepare aging reports and provide collection status updates to management.
Budgeting & Forecasting

  • Assist in the preparation of annual operating budgets and capital expenditure budgets.
  • Prepare variance analyses and management reports.
CAM, Tax & Operating Expense Reconciliations

  • Assist in preparation and review annual CAM, real estate tax, insurance reconciliations and tenant expense recoveries.
  • Work closely with property managers to ensure accurate allocation and recovery of expenses.
  • Maintain supporting documentation for tenant audits and inquiries.
Tax & Audit Coordination

  • Support outside CPA firm in preparing entity and ownership tax returns.
  • Gather and organize documentation for tax filings and audits.
Process Improvement & Internal Controls

  • Assist in developing and improving accounting policies, procedures, and internal controls.
  • Participate in special projects, acquisitions, and portfolio analyses as needed.
Qualifications

  • Bachelor's degree in Accounting, Finance, or related field.
  • 37 years of accounting experience, preferably in commercial real estate, family office, private equity real estate, REIT, or property management environments.
  • Strong understanding of commercial real estate accounting principles and lease structures.
  • Experience with CAM reconciliations, tenant billings, collections, and property-level financial reporting.
  • Advanced proficiency in Microsoft Excel.
  • Strong analytical, organizational, and communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
