Job description

Position Summary
Responsible for leading the preparation, coordination, and submission of competitive bid proposals and supporting contract administration. The Contracts & Bid Administrator partners with operations, estimating, finance, legal, and business development to develop accurate, compliant, and compelling proposals. The role also reviews, drafts, and coordinates contracts, maintains proposal content and templates, and helps ensure contractual and regulatory compliance. Experience in the electrical contracting, utility, or power infrastructure industry is strongly preferred.
Essential Duties and Responsibilities
  • Coordinate the complete bid and proposal process from opportunity identification through submission.
  • Prepare, write, edit, and format proposals, qualifications, and client presentations.
  • Analyze RFPs, RFQs, ITBs, and contract documents to ensure compliance with customer requirements.
  • Draft, review, edit, and coordinate contracts, amendments, and other commercial documents.
  • Work with legal and business leaders to negotiate contract terms and redlines.
  • Coordinate with operations, estimating, project management, finance, and business development to gather proposal content.
  • Maintain proposal schedules and ensure all deadlines are met.
  • Request and track bonds, certificates of insurance, and other required bid documentation.
  • Maintain a library of approved proposal language, resumes, project profiles, and templates.
  • Track bid results and identify opportunities for continuous improvement.
  • Stay current on industry trends, procurement requirements, and contract best practices.
  • Perform other related duties as assigned.

Qualifications
  • Bachelor's degree in Business, Communications, Construction Management, or related field preferred.
  • 3+ years of proposal, bid administration, contract administration, or related experience.
  • Demonstrated ability to create high-quality proposals and write or administer contracts.
  • Experience interpreting contract terms and coordinating revisions.
  • Electrical contracting, utility, construction, or infrastructure industry experience required.
  • Advanced Microsoft Office skills; experience with proposal or contract management software is a plus.
  • Excellent writing, editing, organization, and project management skills.
  • Strong attention to detail with the ability to manage multiple deadlines.
