Position Summary

Activations & Events Coordinator

The Activations & Events Coordinator is responsible for creating, coordinating, and executing engaging experiences that drive guest satisfaction, community engagement, and revenue across the hotel. This highly interactive, guest-facing role serves as a bridge between Operations, Sales, Marketing, and Food & Beverage, with a primary focus on activations, entertainment programming, events, and guest engagement.

The ideal candidate thrives in a fast-paced, hands-on environment and is passionate about creating memorable experiences for guests while supporting the overall success of the hotel. This role combines event execution, marketing support, community outreach, and administrative coordination to help deliver exceptional guest experiences and achieve business objectives.

Unlike a traditional Event Coordinator position, this role serves as a flexible, cross-functional resource supporting Operations, Sales, Marketing, and Administrative functions. While activations, events, and guest engagement remain the primary focus, the position is designed to evolve with the needs of the business. This position plays a direct role in driving guest engagement, strengthening community partnerships, generating revenue opportunities, and supporting the continued success of Moxy Virginia Beach Oceanfront.

Rate of Pay: $20-$22/hourly

Key ResponsibilitiesActivations, Events & Guest Engagement
  • Plan, coordinate, and execute hotel activations, entertainment programming, special events, and guest engagement initiatives.
  • Develop and maintain the hotel's annual activations and events calendar.
  • Coordinate DJs, musicians, entertainers, vendors, influencers, and community partners.
  • Serve as the primary on-site coordinator for events from planning through execution and follow-up.
  • Manage event logistics, timelines, room setups, vendor coordination, food and beverage requirements, and guest communications.
  • Conduct post-event evaluations and identify opportunities for improvement.
Marketing & Community Outreach
  • Support social media content creation and event promotion efforts.
  • Coordinate promotional materials, signage, and event communications.
  • Develop and maintain relationships with local businesses, tourism partners, organizations, and community groups.
  • Identify opportunities to increase hotel visibility, guest traffic, and revenue through strategic partnerships.
  • Assist with hotel marketing initiatives and promotional campaigns.
Administrative & Business Support
  • Process and track invoices and expenses.
  • Assist with cash counts and cash accountability procedures.
  • Maintain event budgets, expense tracking, and related documentation.
  • Coordinate vendor contracts, insurance certificates, and required paperwork.
  • Support reporting, data tracking, scheduling, and special projects.
  • Provide administrative support to hotel leadership as needed.
Operational Support
  • Collaborate with Operations, Front Office, Sales, and Food & Beverage teams to support hotel initiatives.
  • Assist with guest service recovery and special guest requests when appropriate.
  • Support cross-department communication and execution of hotel projects.
  • Serve as a flexible resource during high-demand periods and special events.
  • Perform additional duties as assigned.
Qualifications
  • 1-3 years of experience in hospitality, events, marketing, sales, hotel operations, or a related field preferred.
  • Prior event planning or guest-facing hospitality experience strongly preferred.
  • Strong organizational and project management skills.
  • Excellent verbal and written communication skills.
  • Experience with social media platforms and event promotion.
  • Ability to manage multiple priorities in a fast-paced environment.

  • Experience with Marriott systems and hospitality technology preferred.
