Position Overview
As the Contract Administrator, you will take ownership of all contract and subcontract documentation across active mechanical/HVAC construction projects. This individual will play a critical role in ensuring contracts are properly structured, executed, and maintained while supporting compliance and risk mitigation efforts.
Key Responsibilities
  • Draft, review, and manage contracts, subcontracts, and change orders
  • Act as a key liaison between project managers, accounting, and subcontractors
  • Oversee the full contract lifecycle from negotiation through project closeout
  • Track insurance certificates, lien releases, bonds, and compliance documentation
  • Maintain contract database and monitor key deadlines, renewals, and deliverables
  • Support billing processes including requisitions, lien waivers, and payment applications
  • Partner with leadership to enhance contract processes and risk management strategies
Qualifications
  • Bachelor's degree in Business, Construction Management, Paralegal Studies, or related field
  • 3-5+ years of contract administration experience within construction or HVAC/mechanical contracting
  • Strong knowledge of construction contracts, subcontracts, and change orders
  • Experience with lien waivers, insurance documentation, and compliance tracking
  • Proficiency in Microsoft Office and systems such as Procore, Sage, or QuickBooks
Preferred
  • Paralegal certification or similar credentials
  • Strong negotiation and analytical skills
  • Ability to manage multiple projects/contracts in a fast-paced environment
  • Excellent communication and cross-functional collaboration skills
